Job Description

To provide operational support for University Mail Services (UMS) in accordance with United States Postal Service (USPS) regulations and MUSC policies and procedures. Responsibilities include but are not limited to: Receiving sorting and delivering USPS mail/parcels and intra-campus mail to University and Hospital customers on Main Campus; Collecting and processing outbound mail; Acting as a cashier for the MUSC Postal Store. This position reports to the Assistant Operations Manager of University Mail Services.

Additional Job Description

20% Deliver Inbound Mail Safely and efficiently completes delivery route operating departmental vehicle and on foot; Accurately delivers mail/parcels to as many as 150 departmental mailboxes/parcel lockers; Coordinates with department to deliver oversized parcels to a secure location; Alerts supervisor to issues or problems experienced in the delivery process.

20% Receive/Sort Inbound Mail Receives and sorts daily USPS mail/parcels and intra-campus mail for 150 departments on Main Campus. Functions include but not limited to: Meeting inbound USPS trucks at UMS loading dock unloading mail gurneys from trucks and organizing the contents into trays/tubs for macro sort; Recording daily letter mail and parcel counts; Performing macro sort grouping mail by route; Performing secondary sort grouping mail by appropriate Mail Sort Code (MSC) within each route; Bundling mail by MSC for each route and loading into transport vehicles; Logging in all trackable mail into departments internal logistics system.

15% UAA - Process mail to be distributed the next day. Sort all intra-campus mail by MSC for next day delivery. Research Undeliverable-As-Addressed (UAA) First Class mail in the MUSC online directory and sort for next day delivery.

15% Frank Outbound Mail - Frank the outbound mail. Organize mail and determine if the mail pieces meet the proper size and weight requirements before franking. Apply postage franks using complex computerized postage machines meters and scales. Set aside mail without an active postage funding barcode and give to manager for review upon completion of franking process each day. Transferred outbound mail to the USPS in a timely manner.

10% Outbound Mail Collection & Prep Collects outbound mail from each mail location and prepares it for processing. Sorts outbound mail into campus mail pre-stamped pieces and mail requiring postage. Ensures departmental postage funding barcodes are attached to all outbound USPS mail needing postage. Reviews mail without postage funding barcodes with outbound mail team leader/manager.

10% Store Act as a cashier supporting the MUSC retail postal store (annual revenue $35K) offering USPS products and services to MUSC employees patients and the surrounding community. Activities include but not limited to: Opening and closing the store daily; Providing excellent service to in-person customers as well as those calling the stores main telephone line; Processing transactions using Point-Of-Sale (POS) software/register/credit card terminal; Performing cash drawer and credit card daily closing procedures; Depositing cash/check remittances; Maintaining accurate records for audit purposes; Monitoring and maintaining product inventory.

5% Passport - Act as a back-up certified Passport Application Agent. Examine passport applications and supporting documents for acceptability as proof of citizenship identity and for official and diplomatic passports appropriate authorization entitlement and information. Evaluate evidence for sufficiency credibility authenticity and consistency of facts. Scrutinize for indications of alteration false identity untruthful statements or other types of fraud. Determine the veracity of statements and corroborating information provided by applicants their relatives and witnesses. Collect all monetary fees associated with the application process and making sure all fees are distributed correctly.

5% Other duties and cross-training as assigned - Duties may include but are not limited to: Accepting additional routes; Assisting walk-in customers; Answering calls to the mail phone line; Preparing special mailings; Participating in projects; Receiving additional training; Transporting department vehicles for maintenance.

Minimum Requirements: A high school diploma. Related work experience may be substituted for a high school diploma. Some positions require a valid drivers

license and eligibility for bonding.
