Job Summary
Main Responsibilities
Welcome information badge delivery
- Ensure proper reception of visitors meeting participants for meetings taking place on both OECD sites (La Muette and/or Boulogne).
- Participate in welcoming high-level visitors and if necessary escort them around the premises.
- Provide guidance and information to visitors and meeting participants including indicating meeting rooms services provided by the OECD and referring participants to the different access points.
- Deliver access badges particularly for unscheduled visitors and participants in compliance with current safety regulations.
Welcome desk management
- Supervise subcontractors assigned as back-up to the reception area train them and check that they are familiar with and follow instructions.
- Manage supplies and the stock of inventory necessary for the operation of the welcome desk.
- Manage IT equipment (workstations badge printers).
- Handle telephone calls filtering and transmitting to the persons concerned.
- Follow emergency safety protocols and help evacuate visitors if necessary.
Other tasks
- Perform other related duties assigned by the Head of Service as required.
Qualifications :
Ideal Candidate Profile
Academic Background
- A good general secondary education.
Professional Background
- Proven experience in hosting and/or managing VIPs (private or public sector).
- Experience working in a multicultural environment would be an advantage.
- Experience in preparing meetings would be an advantage.
Tools
- Very good knowledge of the MS Office package: Outlook Word and Excel.
Core Competencies
- OECD staff are expected to demonstrate behaviours aligned to six core competencies which will be assessed as part of this hiring processes: Enable People (Level 1); Ethics and Integrity (Level 1); Achieve Results (Level 1).
- There are three possible levels for each competency. The level for each competency is determined according to the specific needs of each job role and its associated grade.

Languages
- Fluency in one of the two OECD official languages (English and French) and knowledge of the other with a commitment to reach a good working level.

Contract Duration
- 12 months with possibility of renewal
Please note that our Rules and Regulations stipulate that the mandatory retirement age is 67.
Salary Information
- Salary and conditions will depend on the experience of the selected candidate as well as on her/his status (temporary staff or official).
- For temporary staff salary starts at 3 100 EUR.
