the role

The Administrator provides high-level administrative and operational support to the UNSW Institute for Climate Risk & Response (ICRR) ensuring the smooth day-to-day functioning of the Institute and supporting a dynamic research and stakeholder environment.

Reporting to the Institute Manager and supporting the Directors of ICRR this part-time role is suited to a proactive and highly organised administrator who is confident managing competing priorities engaging with senior stakeholders and supporting finance events projects and operational activities across the Institute.

Key responsibilities include:

  • Provide high-level administrative support to the Institute and leadership team

  • Act as a key point of contact for internal and external stakeholders managing enquiries and sensitive matters professionally and efficiently

  • Coordinate meetings and events including scheduling logistics agendas minutes and stakeholder communications

  • Support finance administration processes including purchasing travel reimbursements payment requests billing and credit card reconciliation

  • Maintain accurate administrative systems records databases websites and documentation

  • Prepare correspondence briefing notes reports and other administrative materials

  • Support onboarding and induction processes for new staff and visitors

  • Contribute to process improvement initiatives and administrative efficiencies across the Institute

  • Provide guidance and day-to-day support to administrative operations as required

About you (Selection criteria)
This role suits someone looking for a part-time arrangement who is proactive solutions-focused and enjoys learning. You are someone who is happy to work independently and comfortable taking initiative while supporting a range of operational and stakeholder activities across the Institute. You will bring:

  • Demonstrated experience providing administrative support

  • Previous experience coordinating meetings logistics and ideally events

  • Excellent organisational skills with the ability to manage competing priorities and meet deadlines

  • Well-developed interpersonal written and verbal communication skills

  • Experience supporting finance and operational administration processes

  • Proficiency in Microsoft Office and confidence learning new systems

  • Ability to work independently while contributing positively to a collaborative team environment

The role is part-time and approved until August 2028 working 3 days per week with flexibility to consider 2.5 days per week. Preferred working days are Tuesday Wednesday and Thursday however some flexibility is available.

This role is primarily office-based with flexibility to work remotely one day per week over time. Applicants will be asked about their availability as part of the application process.
