We are seeking a motivated and detail-oriented intern to support the design development and enhancement of automated workflows within Microsoft 365. The intern will work with Microsoft 365 technologiesincluding Document Processing Services for Microsoft 365/Content AI Power Automate Power Apps SharePoint and PowerShellto create intelligent self-service content solutions that automate metadata generation generate content reports and enable end-users to request updates features reports and other SharePoint configurations. This role combines intelligent content automation with administrative scripting and user-facing workflow design to reduce manual effort streamline operations build scalable digital workflows and improve operational efficiency across the organization.

Essential Duties and Responsibilities

KEY RESPONSIBILITIES:

Document Processing & Content Automation:

  • Build train and maintain document processing models (classification extraction understanding) using Document Processing Services for Microsoft 365/Content AI and related tools.
  • Develop automated workflows using Power Automate SharePoint and other Microsoft 365 services to reduce manual data entry and streamline content operations.
  • Create modern templates content types and document assembly solutions to drive standardization and improve user experience.
  • Analyze existing manual workflows identify automation opportunities and design scalable repeatable improvements.
  • Document processes test changes and support deployment and ongoing optimization of solutions.

Self-Service Solutions & Administrative Automation:

  • Create user-friendly self-service interfaces using Power Apps SharePoint Copilot or similar native tools to collect information and trigger automated processes.
  • Develop repeatable PowerShell scripts to automate administrative tasks such as SharePoint site creation permission configuration and metadata setup.
  • Integrate these scripts into automated workflows using Power Automate Copilot or other Microsoft 365 orchestration tools.
  • Build workflows for common requests (e.g. external collaboration sites) that collect required inputssuch as site details requested features external users and permissionsand execute the request automatically.
  • Apply good software development practices including version control with Git code commenting documentation and structured testing

OTHER ESSENTIAL DUTIES AND RESPONSIBILITIES-- Essential duties and responsibilities mayinclude but are not limited to the following:

  • Develop and maintain city Information Architecture and Metadata Schema.
  • Support management of content systems and asset libraries i.e. lists libraries permissions site design (e.g. SharePoint) ensuring version control scalability and reusability.
  • Audit Entra security groups to standardize membership types naming conventions and usage.
  • Develop and maintain documentation knowledge articles and change records.
  • Document administrative procedures create internal knowledge base content and train IT staff on M365 features as needed.
  • Troubleshooting user issues and providing technical support.
  • Identify ways to update SharePoint pages using modern web parts layouts and templates to improve usability.
  • Conduct user experience (UX) testing.

SCHEDULE:

  • Must be able to commit to a minimum of 15 hours a week during the quarter; university breaks mid-terms and finals are excluded. Additional hours may be available dependent upon the candidates schedule. Up to 40 hours per week may be available during the summer.
  • Internship length is flexible dependent on the candidates availability. Estimated length is ten (10) weeks with a maximum of twenty (20) weeks allowed.

Qualifications

Education:

  • Must be enrolled or have obtained your diploma within the last twelve (12) months in a Bachelors or Masters degree program in Information Systems Computer Science Data Science Business Technology or a related field.

Must Posses Knowledge Skills and Ability to:

  • Demonstrate familiarity with Microsoft 365 especially SharePoint Power Apps Power Automate and PowerShell.
  • Understand basic scripting concepts; experience with PowerShell Microsoft Graph or a similar language is a plus.
  • Learn AI-driven document processing model creation and evaluation.
  • Apply critical thinking to analysis of current processes with attention to accuracy.
  • Learn quickly and work independently.
  • Use correct English usage spelling grammar and punctuation including principles of business letter writing and report preparation.
  • Read analyze and interpret various items such as technical documents legal documents operating and procedure manuals general business periodicals professional journals government regulation.
  • Define problems collect data establish facts and draw valid conclusions; apply common sense and creative thinking to solve practical problems.
  • Speak effectively and present information before groups of employees management and/or officials.
  • Work effectively on several projects concurrently.
  • Prioritize work to meet deadlines.
  • Establish and maintain trust confidence and effective working relationships with employees management city officials and the public.
  • Effectively interact with tact patience and courtesy.
  • Be an effective team member.
  • Demonstrate positive and effective interaction and communication with individuals of diverse social and economic backgrounds.
  • Operate personal computer including word processing spreadsheets and database software applications.
  • Maintain confidentiality of business records personnel and other information.

LICENSE OR CERTIFICATE REQUIREMENTS:

  • Successful completion of position-relevant background check.

OTHER REQUIREMENTS:

In order to ensure interns gain beneficial insight of public service during the course of their time with the City interns are expected to:

  • Attend a minimum of one (1) City Council meeting.
  • Attend at least one community City-sponsored or City-affiliated event or special meeting.
  • Give a presentation at the conclusion of the internship program to the Executive Leadership Team.
  • Attend at least 2 Impact Sessions (Lunch & Learns) or shadow at least 2 other city employees.

Specific vision abilities required by this job include close distance color and peripheral vision; depth perception; and the ability to adjust focus.

Work is performed in a typical office environment subject to working outside of normal working hours to meet critical timelines or to provide support in department emergency response events. While performing the duties of this position the incumbent is subject to multiple interruptions by telephones and walk-ins by employees elected officials and citizens; may be exposed to individuals who are irate or hostile. The noise level in the work environment is usually moderate.

Typical business office machinery and equipment include but not limited to personal computer including database program spreadsheet and word processing software printer telephone scanning equipment and copy machine.
