Job Summary

Location: Teacher Administrative Center 3215 Cuming Street Omaha NE 68131

Reports To: Supervisor of Library Services

Work Schedule / FLSA Status: 12-month / Hourly Non-exempt

Salary Schedule: This position is covered by the Office Personnel negotiated agreement. Compensation and benefits will be administered consistent with the negotiated grade 36F starts at $22.58/hour.

Position Purpose: Support district librarians and Library Services administration through purchasing budget monitoring library supply management library catalog maintenance and school library assistance.

Essential Performance Responsibilities:

Purchasing & Vendor Communication

  • Create purchase orders and requisitions for library book(s) makerspace electronic resources and supply orders.
  • Place library orders using multiple vendors online ordering systems.
  • Use Excel to maintain records of school library purchases and accurate budget amounts for each library.
  • Track budget discrepancies and notify the supervisor of inconsistencies needing further review.
  • Request replacement copies of books with guaranteed library bindings.
  • Communicate with library vendors regarding accounts and orders.

Catalog Maintenance

  • Upload vendor-supplied Machine Readable Catalog (MARC) records into the Integrated Library System (ILS).
  • Search Z39.50 bibliographic services to import new MARC records into the ILS.
  • Use reports and data to identify catalog maintenance needs.
  • Enhance existing MARC records in the ILS
    • Change call numbers
    • Add International Standard Book Numbers (ISBN)
    • Add copies to bibliographic records
    • Add missing cover images

Supply Management

  • Distribute requested library supplies to schools.
  • Track in stock supplies and reorder as needed.

School Assistance

  • Assist with packing/unpacking library materials in schools being renovated relocated closed or newly opened.
  • Conduct library inventories at assigned schools.
  • Assist with shelving and other routine library functions when a school is experiencing staffing shortages.
  • Coordinate and organize author visits for schools; make contact with authors and librarians arrange for lodging transportation meals etc.
Routine Office Management
  • Maintain a roster of current library staff and update the ILS access levels for new staff.
  • Answer incoming phone calls and redirect or take messages as needed.
  • Maintain a clean and orderly Library Services workspace.
  • Keeps a calendar of activities to ensure work is prioritized and deadlines are met.

Additional Duties: Performs other related tasks as assigned by supervisory personnel.

Equipment: This position requires the ability to use basic office equipment including telephones computers copiers and scanners. This position will require compliance with OPSs guidelines for equipment use.

Travel: Local travel is required occasionally between schools and the office.

Physical and Mental Demands Work Hazards:

  • Exacting work requiring strict concentration and attention to detail with a minimal error rate.
  • Physically demanding work on occasion. Stands bends lifts and moves materials and is active throughout the day.
  • Work involves moving books weighing up to 50 lbs and lifting and moving boxes weighing up to 50 lbs using equipment.
  • Moderate pressure related to sustained periods of high-volume activity and multiple demands.
  • Some fluctuations in temperature (hot cold) may occur in schools/buildings.
  • Work is performed in accordance with established procedures.

Interrelations:

  • Contact with district personnel customers and vendors.
  • Will work under the direct supervision of the department supervisor to complete day-to-day tasks.
  • Will be working with a diverse population requiring the ability to handle all situations with tact and diplomacy.
  • Must understand and respond appropriately to customer needs and maintain a positive attitude with all customers and colleagues.
  • Expected to interact with all internal and external customers in a friendly professional manner and provide quick responsive customer service.

Employee Punctuality and Appearance:

  • For schools and/or departments to operate effectively employees are expected to perform all assigned duties and work all scheduled hours on each designated workday unless they have approved leave.
  • Any deviation from assigned hours must have prior approval from the employees supervisor or building administrator.
  • All employees are required to report to work dressed in a manner that reflects a positive image of Omaha Public Schools and is appropriate for the position.

Knowledge Skills and Abilities:

  • High School diploma or equivalent required.
  • Previous clerical/secretarial experience preferred.
  • Previous work experience in a library setting with knowledge and experience in MARC and RDA.
  • Strong customer service and phone skills required.
  • A working knowledge of OPS procedures and policies principles and practices of the organization is preferred.
  • Ability to perform the work within schedules and deadlines assigned and in keeping with department standards and productivity goals.
  • Demonstrated excellent attendance required.
  • Proper grammar and English usage.
  • Demonstrated technology skills with Microsoft Office 365 and other job-related software.
  • Excellent organizational and time management skills with strong attention to detail.
  • Demonstrated ability to effectively problem solve.
  • Excellent oral and written communication skills.
  • Maintain strict confidentiality protocol.
  • A strong willingness to acquire new knowledge and skills using initiative as required by the technical challenges in this environment.

Terms of Employment

This position is treated as a classified full-time non-exempt position. The terms of your employment will be governed by applicable state laws regulating employment in a Nebraska public school and Board of Education policies as those laws and policies may change from time to time. If your position is represented by a collective bargaining representative then your employment will also be governed by a negotiated agreement between OPS and that collective bargaining representative.

  • Obtaining and providing verification of all licenses certificates and other requirements for the position (e.g. Paraprofessionals obtaining Highly Qualified status etc.) as identified.
  • A background check that demonstrates to OPS that the background is acceptable for the position.
