Position Purpose:
Reporting to the Director of the Official Languages and Bilingualism Institute this position is accountable for facilitating a donor-funded academic initiative that enhances both the academic and experiential learning initiatives of students. Under the direction of the Steering Committee and the Director of OLBI it will manage the day-to-day activities lead communications and enlist other resources as needed for the successful completion of this phase of the initiative according to the established project plan
The In-Depth Experiential Learning program in the Faculty of Arts offers students a structured pathway to integrate academic learning with meaningful hands-on experience throughout their degree. The program combines coursework with community engagement research professional placements creative projects and reflective learning. Students develop transferable skills deepen their disciplinary knowledge and build stronger connections between their studies career goals and real-world challenges.
In this role your responsibilities will include:
Project Management: Monitor analyze and communicate project status on a regular basis with the project team project sponsor or other stakeholders as required. Coordinate project meetings and associated logistics (agenda minutes documentation). Maintain project documentation according to project management methodology and sponsor requirements.
Resource and Deliverable Management: Coordinate the hiring of contractual resources required to perform course development work. Communicate work assignments requirements and timelines. Review deliverables (course curriculum) and perform all necessary follow-up regarding work quality and timeliness escalating issues to the Director as needed.
Stakeholder Engagement: Manage stakeholder engagement and relations including problem resolution negotiating and resolving conflicts. Interface and manage relationship-building efforts with internal and external stakeholders in support of the project. Promote the project goals within the Faculty of Arts the broader University of Ottawa community and with external partners.
Event Planning and Management: Oversee the logistics for events related to the project such as weekend Arts Labs/Challenges ensuring rooms are reserved materials are prepared facilitators are hired and communication is done. Attends event to ensure that it runs smoothly and remains available to resolve any problems that might arise. Assists in other event support tasks as needed.
Finances: Ensure that contractual workers are being paid. Closely monitor project expenses investigate and clarify any irregularities. Provide semi-monthly project budget reports to Director and monthly budget reports to the Steering Committee.
Reporting and Communication: Coordinate the preparation of reports drafting significant section independently. abstracts poster presentations peer-reviewed publications and other relevant deliverables in collaboration with project teams. Develop and manage project communications (website social media blogs media) collaborating with the ILOB Marketing Manager and their team.
Academic Administration: Prepare the necessary documentation for Senate and Council on Undergraduate Studies requests in collaboration with the faculty departments and central services. Communicate and coordinate updates to program requirements and information for the course calendar.
Supervision: Supervise other project employees assigning and reviewing work.
What you will bring:
Masters degree in education or equivalent combination of education and experience
3 years of experience in curriculum development or project management in a post-secondary institution or governmental environment
Knowledge of university studies academic programs (both at the undergraduate and graduate levels) and principles of experiential learning.
Excellent knowledge of the local national and international networks/partner organizations and of the principles of community engagement and social accountability.
Proven experience in project management.
Ability to build positive relationships with internal and external stakeholders and partners.
Ability to persuade and influence people without a relationship of authority.
Excellent communication skills verbally and in writing; ease at public speaking and ability to present in both official languages.
Demonstrate ability to multitask prioritize work and meet deadlines.
Ability to work independently to achieve work related goals and ability to work effectively under pressure in a team environment excellent initiative and autonomy.
Fluently bilingual in French and English (spoken and written).
Ability to work during a select number of weekends when project-related events are taking place

The rating is determined by a proficiency test designed by the Official Languages and Bilingualism Institute.
Prior to May 1 2022 the University required all students faculty staff and visitors (including contractors) to be fully vaccinated against Covid-19 as defined in Policy 129 Covid-19 Vaccination.
