Job Summary

Detroit Recovery Project (DRP) is seeking a highly organized and dependable Youth Services Administrative Assistant to support the daily operations of the Youth Services Department. This role is essential in ensuring smooth administrative clerical and program coordination across multiple initiatives including SBIRT Family Tree Strengthening Families Program (SFP) and the Youth Recovery House (YRH). The Administrative Assistant plays a key role in maintaining organization supporting staff readiness and ensuring that program materials documentation and schedules are prepared accessible and aligned with departmental expectations.

What Were Looking For:

Detroit Recovery Project (DRP) is currently seeking a detail-oriented and reliable Youth Services Administrative Assistant to support multiple youth-focused this role you will provide critical administrative and operational support to ensure staff are equipped programs run efficiently and documentation is accurate timely and compliant. This position works closely with leadership and program staff to coordinate materials schedules and communication across the department.

The Ideal Candidate Will:

Answer screen and route incoming calls in a professional and timely manner
Sort and distribute incoming mail and packages
Prepare and distribute bulk documentation printouts and staff materials
Create and maintain organized binders folders and program materials
Set up workspaces for new hires including desks supplies and onboarding materials
Prepare weekly documentation including SUPRT forms sign-in sheets and GPRAs
Scan and submit completed documentation for SharePoint upload
Prepare binders and materials for Strengthening Families Program (SFP) cohorts
Maintain copies of program documentation to support workflow transitions
Schedule interviews and coordinate logistics with candidates and leadership
Support supply management ordering and inventory tracking
Assist with SFP logistics including supply coordination menu planning and food ordering
Track Youth Recovery House bed status and communicate updates
Maintain and distribute provider schedules
Prepare resident calendars and program schedules
Monitor and restock office and program supplies
Coordinate bulk printing and preparation of materials
Maintain organized and accessible supply storage areas
Serve as a central administrative support point for Youth Services staff
Respond to staff and leadership requests in a timely and organized manner
Support cross-team communication by distributing schedules materials and updates

Qualifications:

High School Diploma or equivalent required; Associates degree preferred
Minimum of 12 years of administrative or office support experience required
Experience in nonprofit behavioral health or youth services settings preferred
Proficiency in Microsoft Office Suite (Word Excel Outlook)
Strong organizational skills attention to detail and ability to manage multiple priorities
Strong communication and customer service skills
Ability to handle confidential information with discretion
Ability to take direction while demonstrating initiative

Working Conditions:

Office-based environment with frequent interaction with staff and visitors
Occasional lifting of materials and supplies (up to 20 pounds)
Standard business hours with occasional flexibility based on program needs
Travel between program locations may be required

Compensation:

This position is supported through grant funding. As a result compensation is determined by the grant budget and may fall within a designated pay rate or range set by that funding source. The pay range for this position is $24.00$26.44 per hour based on non-discriminatory factors such as skills and experience. This is an hourly non-exempt position and is eligible for overtime in accordance with organizational policy.
