About the role

We are seeking a highly motivated detail-obsessed Office Manager to keep our HQ humming. Based on-site you will be the heartbeat of our Marrickville office by ensuring our environment is inclusive efficient and representative of the Heaps Normal brand throughout this 14-month fixed-term contract.

This role is a blend of front-of-house hospitality high-level administration and facility operations. Youll support both our on-site and remote team ensuring everyone has what they need to do their best work.

This is a Parental Leave cover position and we are looking for our new team member to join us by early June. While we are prioritising candidates with open availability we encourage all highly qualified applicants to apply


The responsibilities

Office Management

  • Oversee day-to-day office operations including maintaining office supplies equipment and facilities within budget
  • Coordinate with service providers including cleaning waste management and IT/telecommunications.
  • Maintain the office ambiance and appearance to ensure a professional welcoming workspace
  • Oversee booking systems for meeting and conference rooms; manage postage and courier requirements
  • Maintain the company asset register including the scheduling of regular service and maintenance.
  • Act as the primary point of contact for the landlord and sub-lease tenants regarding daily operations
  • Ensure strict compliance with health and safety standards while promoting an inclusive workplace environment

Reception and front-of-house

  • Act as the first point of contact for all site visitors including clients and service personnel
  • Manage business inquiries via phone email and in person directing them to the appropriate department

HR Support

  • Assist in the onboarding of new hires both onsite and remotely
  • Oversee staff birthday and anniversary initiatives
  • Assisting employees with understanding and accessing their benefits such as EAP professional development or other employee perks offered by the company
  • Serving as a point of contact for employees who have questions or concerns related to HR policies procedures or issues such as conflicts in the workplace

Administrative & Documentation

  • Maintain and update company manuals policies and shared digital resources.
  • Manage accurate files and databases assisting with the preparation of reports and presentations as needed.
  • Arrange business travel and accommodation in alignment with company budgets.

Event Planning and Coordination

  • Assist in planning and organising company events team-building activities and special projects
  • Coordinate logistics catering and other event-related details
  • Coordinate team social calendar

  • A master of prioritisation who keeps the office humming and ensures no small detail slips through the cracks.
  • Empathetic and professional whether you are assisting a team member with HR queries or greeting a visitor.
  • Resourceful and proactive. You do not wait for instructions to spot a problem and fix it.
  • Proficient in Google Workspace with a sharp eye for accuracy in data and digital filing.
  • A collaborative team player who handles sensitive personnel information with the utmost integrity.
