Job Summary
Assist the building secretary with daily office functions as assigned by the building principal. Perform general office duties including filing photocopying scanning and data entry. Greet and assist students parents and visitors in a professional manner while ensuring the confidentiality of student and staff information.
Essential Job Functions
- General Clerical Support: Assist the building secretary with clerical duties including answering telephones taking messages responding to basic inquiries and typing.
- Reception: Serve as the receptionist for the front desk greeting visitors and providing a professional point of contact for the school.
- Attendance Coordination: Responsible for maintaining daily attendance records including processing early dismissals and late arrivals. Prepare and distribute attendance letters in accordance with state requirements.
- Office Operations: Support staff with office machines distribute incoming mail and prepare outgoing correspondence.
- Document Management: Maintain attendance logs and other school documents. Organize current-year student pictures into permanent files ensuring files are kept in order.
- Scheduling & Events: Assist with scheduling appointments meetings and school events.
- Student Recognition: Assist with the preparation of letters for parents and students receiving recognition and awards.
- Staff Support: Provide clerical assistance to teachers and administrative staff as needed.
- Equipment Maintenance: Operate and maintain standard office equipment including computers printers copiers and fax machines.
- Other Duties: Perform other tasks as assigned by the Principal.
Qualifications
Education: High School diploma required.
Certifications/Clearances:
- * Pre-employment medical examination (Section 148 of PA School Code).
- PA State Police Criminal History Report (Section 111 of PA School Code).
- FBI Criminal History Record.
- PA Department of Public Welfare Child Abuse clearance (Act 151).
Skills: Must possess computer and leadership skills with the ability to operate various office equipment.
FLSA Status:Non-exempt
Location: Ringing Rocks Elementary School
Hours: 4 hours per day/ 8:30 - 12:30 on all student days (181 days per year)
Salary: $18.00/hour
Must have current Act 34 151 & 114 Clearances
