Training and Registration Coordinator

Introduction - The Pennsylvania Automotive Association has been in existence for over 100 years providing a variety of services to the franchised new car new truck and power sports dealers in the state of Pennsylvania. Due to the retirement of a long-time employee we are looking to hire a Training and Registration Coordinator with 3-5 years of relevant experience . This positions role is focused on managing the registration process for training and meetings within the organization including tasks like collecting participant information processing applications and handling payment details.

Key responsibilities include:

  • Inputting registration information into database systems as well as payment processing and invoicing
  • Processing notary public applications and working with notary public to assist throughout process of being commissioned
  • Maintaining accurate registration records and updating participant information as needed
  • Setting up meeting rooms and coordinating on-site and off-site meeting logistics
  • Coordinating training compliance reviews and meeting schedules
  • Ensuring accuracy in training/meeting registrations and meeting logistics
  • Responding to registration inquiries from potential participants via phone and email
  • Answering phone calls directing inquiries and responding to emails
  • Booking travel accommodations for executive staff
  • Ordering office supplies and managing inventory for department

Required skills:

  • Strong organizational skills:Ability to prioritize tasks and manage multiple deadlines as well as managing registration/application data
  • Excellent communication skills:Ability to clearly communicate with applicants and members regarding registrations and training schedules
  • Attention to detail:Ability to meticulously review documents and identify errors or inconsistencies
  • Customer service:Providing courteous and professional assistance to attendees and members
  • Time management skills:Effectively managing schedules and meeting deadlines
  • Proficiency in Microsoft Office Suite:Word Excel Outlook
  • Data entry proficiency:Accurate and efficient data input skills
  • Computer proficiency:Familiarity with registration software and database management systems
