Job Summary

Student Services Administration Assistant (Part-time Permanent)


ILSC & Greystone College Australia part of the ILSC Education Group is a private language and career college
with campuses in Adelaide Melbourne Sydney Perth and Brisbane as well as in Canada India and Ireland.
This varied and challenging position is open in our Adelaide Campus and offers numerous opportunities for
growth and development within the international education industry. The Student Services Administration
Assistant role reports to the Student Services Manager and is responsible for a variety of functions such as:


Student Advising Duties


  • Supporting students on campus by advising on aspects such as cultural acclimatization and general
    academic issues
  • Helping students with questions and problems and/or leading them to the correct department
  • Supporting student accommodation requests (i.e. Homestay and student residence)
  • Providing a special duty of care for underage students with regular check-ins
  • Facilitating academic and financial intervention and problem-solving (if required)
  • Supporting students and agents by answering phone calls responding to questions about current
    student status and providing course information
  • Acting as a point of contact for walk-in students conducting school tours and ensuring successful
    conversion
  • Facilitating student extensions
  • Creating and revising invoices and payment plans
  • Updating PRISMS site with relevant student information
  • Assisting the manager and academic director with assigned tasks


Reception duties


  • Greeting students agents and visitors in a warm friendly and professional manner
  • Helping students with login issues to the myILSC or myGreystone App
  • Answering the phone transferring calls and taking messages
  • Helping students agents and visitors with questions and leading them to the correct staff and
    department
  • Supporting local teams with the weekly orientation process for new students (including pre-arrival
    checks and communication Day 1 Orientation and late-comer follow-up)
  • Supporting local teams with purchase requests
  • Updating the schools academic management system (Odyssey) as well as other databases
    (PRISMS)
  • Managing textbook inventory and distribution
  • Purchasing OSHC (student health insurance) and ensuring students receive their insurance cards
  • Ordering and managing stationery and school supplies
  • Making coffee and snacks runs for guests special events and staff drinks
  • Coordinating with cleaners on the quality of cleanliness of the campus making sure that the
    premises are kept clean and in good condition at all times
  • Attending general staff meetings and training sessions as needed


Selection Criteria


  1. Understanding key regulatory compliance requirements including: ESOS Act National Code 2018
    ELICOS Standards 2018 NEAS
  2. Working experience within the education industry.
  3. Excellent time management and ability to work under pressure in a fast-paced environment
  4. Proven leadership skills
  5. Outstanding organisational and prioritising skills
  6. Demonstrated customer service skills
  7. Effective and clear written and oral communication in English
  8. Excellent technical skills (Database Microsoft 365 PRISMS etc.)
  9. Able to respond appropriately and promptly to a variety of enquiries from current and prospective
    students agents and sales teams
  10. Able to find information and work independently and collaboratively with other departments
  11. Able to be flexible adaptable and have problem-solving skills
  12. Able to always maintain composure and professional behaviour especially while under pressure
  13. Proactive in taking the lead on tasks and collaborating with the team on the workload
  14. Patient empathetic and approachable


Working Hours and working rights


  • This is a part-time position and has an immediate start.
  • This position based at the Adelaide Campus. Working-from-home arrangements will not be available.
  • Our ordinary hours of work are between 7:30 am and 7:00 pm from Monday to Friday. Schedules will
    be discussed with the manager and must adhere to operational requirements.
