Position Summary: The Artistic Operations Assistant supports all aspects of the Artistic Operations Department. This position serves as the primary administrative support for the Orchestra Manager and Vice President and General Manager along with close collaboration with the Program Manager or Popular & Special Programming as well as the Artistic Coordinator. This position additionally provides administrative and operational support to the Orchestra Personnel Team for DSO auditions. This is an essential operational position responsible for coordinating the logistical needs of the Artistic Operations Department and the orchestra and staff for all DSO orchestral events.

The Artistic Operations Assistant will act as a liaison with staff DSO musicians guest artists venues stage crew and partners. This position requires a high level of professionalism tact and integrity due to the frequency of internal/external contacts and exposure to confidential information.

Specific Duties and Responsibilities:

  • Enter and maintain accurate artist repertoire and service records in data and tracking systems including but not limited to OPAS and Momentus. Prepare reports as needed by researching gathering and summarizing information verbally and in writing.
  • Generate and review calendars electronic calendars and schedule books for upcoming seasons.
  • Coordinate the details of various multi-faceted projects managed by the Orchestra Manager and the Vice President and General Manager. Organize and expedite the considerable ongoing flow of work through the Artistic Operations Department.
  • Manage DSOs artist condo. Order supplies manage cleaning schedule and arrange any work order requests. Manage cleaning company invoices to ensure timely payment.
  • Manage the DSOs artist vehicle. Address any maintenance issues create relationships with local dealerships and ensure timely registration of documents.
  • In collaboration with Program Manager Popular & Special Programming oversee stocking Artistic Planning Department supplies including maintenance of dressing rooms.
  • Provide administrative and operational support to the Orchestra Personnel team for auditions including in-person support on audition days at Orchestra Hall.
  • Support the Artistic Operations team with off-site programs including data collection and operational needs.
  • Answer routine requests for information and handle complex and sensitive inquiries or refer them to appropriate persons.
  • Produce AV release forms and track status to reach full execution. Work with necessary parties to manage timing for promotional usage.
  • Produce Classical information sheets for Front of House and Advancement teams.
  • Assist with Artist care and other concert operational needs.
  • Other duties as assigned.

Required Qualifications:

  • Completed higher education degree preferably in music or the performing arts.
  • Detailed knowledge of classical music and the ability to read music.
  • High attention to detail.
  • Inquisitive and willing to learn.
  • Strong communication and interpersonal skills.
  • Ability to act independently take initiative and meet changing priorities.
  • Successful experience working in and contributing to a collaborative team environment.
  • Ability to operate in a PC network environment and familiarity with Microsoft Office Suite.

Desired Qualifications:

  • Experience working within specialized software or databases including OPAS.
  • Experience working in the performing arts and/or with orchestras.
