Job Summary
We are currently seeking a Tender Specialist to join our team at Ctrack.
Main purpose:
The Tender Specialist is responsible for managing the full tender lifecycle from opportunity identification through to submission award handover and post-tender analysis. This is a strategic and hands-on role requiring leadership ownership and accountability to ensure high-quality compliant and competitive tender submissions that support business growth. The successful candidate will lead tender processes across public and private sectors coordinate cross-functional teams manage deadlines drive continuous improvement and maximise win rates.
Job Functions:
Tender Strategy & Opportunity Management:
- Identify assess and track relevant tender opportunities aligned to company strategy.
- Review tender invitations RFPs RFQs Vendor requests and proposals for commercial viability.
- Conduct bid/no-bid evaluations and provide recommendations to management
- Develop tender response strategies to improve competitiveness and success rates.
- Monitor procurement portals government bulletins and client procurement platforms.
- Collaborate with internal teams including marketing product development technical and customer support to ensure successful tender submissions and drive business success.
Full Tender Management (Start to Finish):
- Manage the complete tender process from receipt to final submission.
- Interpret tender specifications scope pricing requirements product/technical specifications and compliance criteria.
- Ensure all submissions are complete accurate professional and submitted on time.
- Oversee electronic courier and portal-based tender submissions.
- Ensure that your customer service index (CSI) remains above a 90% threshold.
Bid Compilation & Proposal Writing:
- Compile compelling professional and commercially sound tender responses.
- Draft executive summaries methodology responses capability statements and company profiles.
- Edit proofread and format submissions to a high standard
- Ensure responses are aligned to customer requirements and evaluation criteria.
General Responsibilities & Stakeholder Coordination:
- Lead collaboration between Sales Finance Legal Operations Technical Procurement and Executive teams.
- Obtain pricing technical solutions legal approvals supporting documents and sign-offs.
- Manage third-party partner documentation and subcontractor submissions.
- Chair internal tender progress meetings where required
- Stay informed about industry trends competitor activities and market opportunities to identify potential leads and develop strategies accordingly.
- Represent the business at industry events conferences and trade shows to network with potential clients and promote our products or services.
Compliance & Governance:
- Maintain an up-to-date compliance library including:
- Tax Clearance / Tax PIN
- BBBEE Certificate
- CIPC Documents
- Financial Statements
- Insurance Certificates
- ISO / VESA / SANAS / Accreditation Certificates
- Contracts and SLA templates
- Ensure full compliance with tender requirements and governance standards.
- Reduce submission risks by conducting quality assurance reviews before final submission.
- Work with Finance and Sales teams on pricing schedules and commercial models.
- Ensure profitability margin alignment and commercial accuracy.
- Validate costing sheets rate cards and contractual commitments.
- Manage clarification requests presentations and briefing sessions.
- Coordinate contract acceptance and internal handover to operations.
- Ensure smooth transition from tender award to implementation.
Leadership Responsibilities:
- Mentor junior tender administrator.
- Drive accountability across departments to meet deadlines.
- Implement best practices and stronger bid governance.
- Act as the internal subject matter expert on tender management.
Reporting & Continuous Improvement:
- Maintain tender pipeline reports dashboards and management updates.
- Track win/loss ratios revenue secured and tender performance metrics.
- Analyse unsuccessful bids and recommend improvements.
- Continuously improve tender templates systems and processes.

Qualifications & Experience:
- Degree / Diploma in Business Management Supply Chain Procurement Finance Law or related field MBA.
- Minimum 35 years experience in tender management or bid management.
- Proven experience managing high-value public and private sector tenders.
- Experience in ICT Fleet Management Telematics Security or Technology sectors advantageous.
- Strong understanding of contractual and commercial terms.
- Strong understanding & experience in assembling project/implementation plans.
