People & Culture Coordinator (FMX) Maternity Leave
Job Summary
Reporting to the People & Culture Director responsibilities and essential functions include but are not limited to:
- Manage internal communication tools (staff memos TV and staff notice boards)
- Draft and send memos regarding hotel activities office closures etc.
- Send correspondence to employees for key life events (weddings births bereavements)
Internal Events & Recognition
- Organize and implement the monthly Connection & Culture calendar
- Prepare and coordinate celebrations (national holidays new hotel openings etc.)
- Assist with and participate in major staff events (e.g. staff party summer BBQ)
- Create weekly birthday lists send out cards and notify the People & Culture team
- Take and archive photos at all internal events and staff-focused client events
- Organize the General Staff Assembly
Administration
- Coordinate and distribute employee administrative requests
- Ensure digitalization of employee files
- Maintain and follow up on missing document records and reminders
- Assist in welcoming new employees
- Handle employee advance requests
- Ensure proper office closure procedures
- Handle internal and outgoing mail
- Manage key distribution (Residence lookers)
- Maintain office supplies for the P&C department
- Oversee observation interns (planning photos evaluations onboarding and departures)
- Monitor intern development conduct 1- and 3-month follow-ups manage school evaluations and LinkedIn departure posts
- Prepare internal visit documentation with the P&C Director and ensure meeting room setup
- Prepare materials for school recruitment visits
- Take professional photos of employees and manage photo tracking
- Participate in hotel school recruitment days
- Retrieve employee files from archives
- Send registered mail
- Perform weekly locker room checks
- Comply with departmental policies and procedures
- Adhere to ergonomic health and safety standards
- Perform any other duties as assigned
Qualifications :
- Fluency in written and spoken Portuguese and English
- Proficient in Microsoft Office (Word Excel Outlook)
- Proven ability to manage multiple tasks in a busy environment
- Commitment to delivering excellent internal customer service
- Strong organizational skills and attention to detail
- Ability to demonstrate tact diplomacy discretion and compassion in a confidential context
- Excellent communication and interpersonal skills
- Highly responsible and reliable
- Strong team spirit
