The Dublin Dental University Hospital is the major dental teaching hospital in Ireland undertaking the training of postgraduate and undergraduate dental students student dental nurses dental technicians and dental hygienists. We are currently seeking to recruit a HR Administrator (Grade IV) Permanent & Full-Time position to join our Human Resources department.
The position reports to and is accountable to the Senior Manager of the HR department or by any other authorised designated officer that the responsibility is delegated to by the CEO.
Outline of Duties and Responsibilities
The successful candidate will work closely with the Head of HR and the HR Team to deliver best practice HR solutions across all employees manage HR operations support the senior management team and lead policies and procedures.
The role of the HR Administrator includes but is not limited to:
Managing and maintaining a full range of HR administrative services including the management of time attendance and absenteeism personnel records employment contracts and general HR correspondence consistent with the needs of the organisation.
Delivering excellent customer service and ensuring the smooth run of the HR Department.
Providing support to Heads of Departments Directors and Managers in key divisions on Human Resources and Employee Relations issues as appropriate and reporting same to the Senior Manager of the HR department.
Ensuring that the highest levels of confidentiality are maintained within the Department.
Maintaining excellent communications between the Senior Manager of the HR department and staff throughout the Department.
Be proactive to ensure that the Senior Manager of the HR department and HR team is supported in order to effectively undertake their role and give assistance both when requested and on a pre-emptive basis.
Assisting with the management of the recruitment and selection life-cycle up to and including induction to ensure consistency of approach in line with best practice and recruitment policy.
Assisting with the development and maintaining of job descriptions and contracts of employment for all hospital staff.
Monitoring and reporting on probations temporary contracts staff attendance etc.
Collecting and compiling data and statistics relating to Employment Control absenteeism etc. as required.
Co-ordinating and managing staff training and development and related activity.
Maintaining department/staff records and files.
Managing the administration and maintenance of the online HR database to ensure the data is accurate and up-to-date.
Collecting and compiling data and statistics.
Assist with maintaining the HR Policies and Procedures and revisions in line with changing legislation and hospital policy.
Researching and writing correspondence and reports.
Responding professionally to enquiries from staff and members of the public.
Applying hospital policy in relation to Occupational Health and Welfare and other matters.
Assisting in the ongoing review and implementation of internal Standard Operating Procedures for the efficient and effective administration of the Human Resources Department.
Ensuring that the department runs smoothly including taking responsibility for post stationery ordering couriers and taxis photocopying shredding filing office equipment and general office duties.
Organising and attending meetings and seminars as required.
Providing cover for other staff as required.
Ensuring that all policies and procedures identified by the hospital as being relevant to the post have been read acknowledged implemented and adhered to.
Ad hoc projects as required.

The person chosen will be required to maintain enhance and develop their knowledge skills and aptitudes necessary to respond to changing situations. Qualifications Experience & Person Specification
The ideal candidate will demonstrate the appropriate mix of knowledge experience skills talent and abilities as outlined below.
The successful candidate must have:
A relevant third level qualification in Human Resource Management of at least level 6 on the National Qualifications Framework maintained by Qualifications and Quality Ireland (QQI).
A minimum of three years experience in a HR role that includes a working knowledge of the following: HR policies and procedures recruitment and selection learning and development employment legislation data protection pensions and payroll.
Knowledge of contemporary Human Resources best practices Employee Relations and all aspects of employment legislation.
Administrative organisational and numeric skills including competency in MS Office and the maintenance of a HR database.
Excellent interpersonal skills and a proven ability to communicate effectively both written and orally.
Written communication skills including report writing and minute taking.
Liaising with external providers (Occ Health HSE storage provider).
An ability to contribute as a member of a team to work under pressure and to meet deadlines.
Problem solving skills with the ability to identify potential difficulties and formulate solutions.
An ability to work on own initiative prioritise and manage a number of issues simultaneously and demonstrate exceptional attention to detail.
An understanding of the role of HR in the organisation and how this Department contributes to the successful delivery of excellent customer service.
A clear understanding of adherence to employee confidentiality and GDPR.
Desirable:
Ideally an understanding of Public Sector HR rules and regulations.
Ideally CIPD membership.
Experience working with People XD HR System.
