Job Overview
We are hiring an experienced Executive Assistant & Office Manager to support senior leadership. This role requires someone highly organized proactive and comfortable handling multiple priorities in a fast-paced environment.
What Youll Do
Executive Support
- Support multiple senior leaders (VPs executives department heads)
- Manage complex calendars meetings and travel arrangements
- Prepare reports presentations and correspondence
- Handle confidential information professionally
- Coordinate large meetings and leadership events
- Track deadlines and follow up on action items
Office Management
- Oversee daily office operations and logistics
- Manage vendors supplies and office equipment
- Coordinate onboarding and team events
- Ensure smooth functioning of office space and facilities
- Implement efficient office processes
Must-Have Experience
- 7 10 years of executive-level support experience
- Experience supporting senior leadership (C-suite/VP level)
- Background in healthcare hospitals or academic medical centers
- Ability to manage multiple executives simultaneously
- Experience with office operations or facilities management (3 years)
- Strong skills in calendar management travel and communication
Key Skills
- Excellent communication and organizational skills
- Strong multitasking and problem-solving abilities
- Proficient in Microsoft Office (Outlook Word Excel PowerPoint)
- Experience with Zoom / Microsoft Teams
- Ability to handle confidential information with discretion
