The College of Education has an outstanding opportunity for a motivated and talented financial professional to join the Financial Shared Services Team (EDFAST) as a Shared Services Analyst.
About this Opportunity
Reporting to the Assistant Director of Accounting Services this position provides fiscal and administrative support to meet the business needs of the College of Educations shared environment team in accordance with Generally Accepted Accounting Principles (GAAP) Washington State Office of Financial Management (OFM) regulations and other applicable University State and Federal policies. The position contributes to a regular cadence of continuous improvement initiatives that maintain and enhance published customer service efficiency and accuracy standards. The position also participates in a regular training cadence in order to maintain and enhance subject matter expertise. Primary duties include providing technical and policy expertise to complete complex transactions in Workday to support constituent business needs. These may include purchasing payments reimbursements tracking accounts receivable reconciliation billing ad hoc reporting and Fresh Service and UW Connect triage.
Key Responsibilities:
Scholarships
Conduct a monthly reconciliation of scholarship budgets to ensure accuracy and timeliness of scholarship disbursements
Perform three-way match of scholarships using internal and UW systems
In collaboration with the Office of Student and Academic Services (OSAS):
Communicate to OSAS any discrepancy on scholarship disbursements
Provide OSAS annual spending guidance on each scholarship fund prior to upcoming academic year
Work with OSAS scholarship team to keep scholarship database current
Meet with OSAS quarterly to ensure each academic quarter funding is in SDB and ready to disburse on tuition deadline
Reporting Analysis & Compliance
Provide regular financial reports analyses and updates to principal investigators (PIs) and budget managers.
Conduct monthly budget reconciliations across assigned budgets.
Enter salary costing information across all funding sources in Workday and prepare and submit journal entries and payroll accounting adjustments as needed to ensure accurate financial reporting and proper account alignment.
Perform tasks related to payroll pre- and post-award grant and contract administration procurement external invoicing and issue resolution.
Conduct compliance reviews for college Workday orders ensuring adherence to UW and college policies procedures and budget guidelines.
Serve as the subject matter expert for complex faculty and staff payroll allocation processes. This includes but is not limited to salary distribution methodologies salary-over-the-cap restrictions cross-company over-the-cap processes and other advanced payroll scenarios.
Continuously review budget contract and appointment requirements to verify that faculty and staff salaries are charged accurately and in alignment with fully executed agreements.
Other Responsibilities
Commit to continuous learning and peer sharing to maintain knowledge excellence within the group.
Actively participate in daily staff huddles weekly and monthly workshops and outreach meetings (as requested).
Collaborate with fellow EDFAST team members and serve as a member of this team to evaluate current EDFAST processes and policies develop ideas for updates and improvements and institute changes that continually reinforce our mission and values.
Actively participate in all appropriate policy business process and customer service trainings including Workday training sessions in order to maintain and expand expertise and to identify and pursue areas for process improvement.
Provide back-up support to colleagues as needed.
Perform detailed work daily that requires absolute accuracy.

Required Qualifications

Minimum Qualifications
A Bachelors Degree and two years of work experience providing customer service in a HR payroll procurement and/or finance business unit.

Additional Qualifications
Experience working in online customer support or a shared service organization.
Strong customer service skills and ability to answer questions and solve issues quickly.
Highly developed interpersonal skills including excellent written and oral communication skills.
Ability to handle sensitive situations and highly confidential information with tact and discretion.
Ability to perform successfully in a challenging high-volume setting where deadlines and priorities constantly change.
Proficiency with Microsoft Office MS Office Suite (Word Excel PowerPoint OneNote Outlook) MS Teams SharePoint and Zoom teleconferencing.
Intermediate proficiency with Microsoft Excel spreadsheets pivot table and ability to learn new software and adoption of new tools.
Ability to build supportive working relationships with individuals of widely divergent backgrounds and needs.
Must be able to work independently with the ability to collaborate on team projects and proactively solve problems.
Demonstrated attention to detail and passion for accuracy.

Demonstrated ability to engage with diverse populations of students faculty and staff fostering inclusivity and collaboration.
Knowledge of UW fiscal and administrative systems and departments particularly familiarity with Workday is preferred.
