Reporting to the Executive Director this position is responsible for the overall quality of operations at Main Street Project. This position will provide leadership organization coordination and advancement for the core operations of all MSP spaces buildings and collaboration with the MSP director team and will provide direct oversight to the Facilities Supervisor IT Specialist and Food Services Manager. The Director of Operations will have a key role in executing objective four of Main Street Projects Strategic Plan Strengthen the organization by improving infrastructure technology and processes.
OPERATIONAL OVERSIGHT
Facilities - leading our facilities management team responsible for all MSP buildings building systems repairs and upgrades Responsible for managing a team of 1 supervisor 1 maintenance lead 4 maintenance workers and summer term employees based on grant funded positions. This work is a balance of setting up building quality control maintenance and repairs. This role is also key to MSP capital developments and will be essential to setting up new building operations systems as our capital projects are completed.
Food Services - This position provides direct oversite to the Food Services Manager who is responsible for day-to-day food operations kitchens and donations. The Food Services team ensures that the 1500 daily meals served are done with the highest quality as well as operating MSPs Essentials Market on a weekly basis.
Information and Technology- This position oversees MSPs IT Specialist providing support and guidance on technology cyber security and other systems to ensure MSP has strong and secure IT infrastructure at all locations.
Health and Safety- In collaboration with Human Resources develop and lead MSP health and safety program. This includes ensuring Workplace Health and Safety policies and practices are up to date and meet legislative requirements as well as implementing improvements to the Health & Safety Program. This role will chair MSPs Health & Safety Committee.
Fleet Management In collaboration with program managers oversee the maintenance emergency repairs and emergency reallocation of Main Street Project vehicles ensuring staff have ongoing access to reliable vehicles to provide direct services daily.
Key Responsibilities- Provide leadership and oversight in the areas of IT Facilities Food Services and Health & Safety including:
- Develop revise and implement program policies & procedures in collaboration with the management team
- Identify needs develop or revise and implement changes or new services
- Provide leadership to resolve issues impacting service delivery; develop strategies in collaboration with directors and managers to balance competing and conflicting interests to achieve the best outcomes for MSP
- Participate on the senior leadership team including the overall strategic planning for MSP
- Conduct negotiations with third party contractors to determine the rate and terms of service
- Oversee program budget and expenses
- Ensure program alignment with MSPs strategic plan
- Facilitate the growth of staff through supervision consultation and training
- Ensure staffing levels meets program delivery goals
- Identify performance issues concerns taking appropriate action to resolve;
- Work with the HR and program managers to fill vacancies; identify hiring needs within the department advising the Human Resources Department
- Ensure programs are within the approved payroll budget; monitor biweekly payroll
- Provide ongoing coaching and supervision to program managers & specialists
- Ensure staff receive appropriate supervision
- Either performs directly or in collaboration with program managers performance evaluations of program staff
- Consult with Executive Director program managers and other directors on staff performance concerns and intervene as necessary
- With the program managers assess staff training needs and facilitate their obtaining the training; oversee documentation of credentialing requirements
- Assess own training needs to improve skills; meet continuing education and other requirements to maintain professional licenses related to the position
- Facilities Management
- Lead the delivery of highly efficient and effective daily maintenance services for MSP buildings. Fully understand the operation features strengths and shortcomings of existing facilities.
- Develop metrics and key performance indicators for maintenance services. Work cooperatively to ensure cohesive and consistent customer service.
- Manage annual operating budget for facility repairs and maintenance.
- Lead in development of a proactive maintenance plan that describes current conditions of MSP buildings and facilities.
- Be a champion for the development within MSP of a detailed facilities management database of MSP owned/operated buildings.
- Create and routinely provide reports that measure and monitor the maintenance activities and costs.
- Track maintenance and facility improvement projects by type and regularly report progress on schedules costs scope etc. Make recommendations for continual improvement.
- Liaising with plumbers electricians surveyors architectural technologists and other construction professionals.
- Making sure that all building services meet health and safety requirements and environmental legislation.
- Participate in planning and update meetings pertaining to current and future construction projects.
Education & Qualifications
- Related educational and/or professional experience with demonstrated experience in advanced facilities management.
- Significant experience in a leadership capacity in comparable complex organizations preferably in the non profit sector
- Experience in program management strategic planning budgets and finance.
- Demonstrated knowledge and understanding of facilities operations IT and health and safety systems
- Working knowledge and understanding of the various components of human resource management.
- Satisfactory Criminal Record with clear Vulnerable Sector Search and a clear Adult Abuse Registry Check required.
- Valid Class 5 Drivers License
- Superior ability to communicate effectively and concisely both verbally and in writing.
- Superior ability to deliver presentations to a variety of audiences and to skillfully handle on-the-spot questions from senior management members of the board special interests groups and staff.
- Ability to establish and maintain effective working relationships with colleagues at all levels of the Agency Board members participants and family partners and general public.
- Ability to identify understand and meet or exceed the requirements of internal and external partners
