About The Role:

The HR Operations Specialist plays a critical role in supporting the full lifecycle of both G Adventures Employees and Tour Staff (Chief Experience Officers - CEOs). This position is a 50/50 split between corporate employee recruitment/onboarding and the specialized management of independent contractors (CEOs). You will ensure operational excellence by managing data integrity in HRIS systems (Workday and Polaris) overseeing complex background check processes and acting as a key liaison between Global Talent Regional Operations and external vendors.

Key Duties & Responsibilities

Talent Acquisition & Recruitment Support

  • Partner with hiring managers globally to facilitate recruitment discussions and provide guidance on talent acquisition strategies and best practices for both employees and tour staff.

  • Support managers in the local administration of contracts ensuring compliance with regional regulations and talent systems.

  • Collaborate with the Global Talent team to provide regional perspectives that inform global recruitment initiatives.

Onboarding & Employee Lifecycle Administration

  • Systems Management: Maintain data integrity across Workday and Polaris ensuring electronic files reports and records for both employees and contractors are accurate up-to-date and compliant.

  • Background Check (BGC) Administration: Execute the end-to-end BGC lifecycle including vendor management (Certn) follow-ups on delays troubleshooting Polaris integration issues and managing the exception process for pending results on upcoming trips.

  • Frontline Support: Manage Talent inboxes and service tickets for all regions providing timely assistance on policies and procedures and escalating complex queries as needed.

  • Training & Development: Proactively facilitate (and/or design/update) Workday training and knowledge refreshments for new staff and managers particularly ahead of peak recruitment seasons.

  • Lifecycle Documentation: Keep up-to-date Talent related documents (such as EAP flyers) manage the administration of employment/service verification letters immigration/visa tracking and offboarding processes (including exit interviews and asset collection).

  • Compliance: Monitor and enforce compliance with freelance contractor policies including health and safety regulations and contract practices.

Performance & Compensation Support

  • Performance Monitoring: Assist with CEO performance management by reviewing Professionalism Reports and escalating concerns to regional leadership.

  • Compensation and Benefits Admin: Assist in the administration of compensation programs including the management of freelance contractor perks and discount programs.

Process Improvement & Project Support

  • Collaborate with Talent and Operations teams to scope out solutions that increase efficiency and streamline global operations.

  • Provide CEO Program Support by creating and maintaining new position interviews and HireVue assessments

  • Assist in the development revision and implementation of tour staff policies CEO Agreements & Schedules maintaining key resources like the CEO Field Guide Galaxy Job Aids and Operations Resource site.

  • Support the Marine Coordinator with issues related to contracting and independent contractor documentation as needed.

Skills & Experience

  • Post-secondary education in Human Resources Business Administration or a related field.

  • 23 years of experience in HR Operations Talent Acquisition or a related People Services role ideally within a global or multi-regional organization.

  • Intermediate to advanced proficiency in HRIS platforms (Workday and Polaris preferred) with a proven ability to manage complex data entry system troubleshooting and reporting.

  • Technical Aptitude: Strong proficiency in Microsoft Office Suite specifically advanced Excel skills (Pivot Tables VLOOKUPs) for data auditing and reconciliation.

  • Vendor & Process Management: Experience managing third-party background check vendors and a track record of meeting strict operational deadlines.

  • Compliance Knowledge: Foundational understanding of global employment laws and independent contractor regulations.

  • Analytical Thinking: Ability to review performance data (e.g. Professionalism Reports) and proactively escalate risks or trends to leadership.

  • Communication: Exceptional written and verbal communication skills in English with the ability to provide consultative support to managers across different cultures and time zones.

  • Judgment & Discretion: Demonstrated ability to handle sensitive information and manage high-stakes exception processes with sound logic and confidentiality.

  • Continuous Improvement: A self-motivated mindset with experience in streamlining workflows and enhancing operational efficiency.

Additional information

Base Salary Hiring Range: $55000.00 - $65000.00 CAD annually

Final salary offered will fall within the posted salary range and will vary based on the candidates skills experience and qualifications
