About the Role
As the Refugee Systems & AI Automation Coordinator you will play a key role in strengthening IslamicFamilys refugee programs by improving systems workflows and coordination processes. This role combines hands-on program support with the opportunity to design and build practical tools that enhance efficiency and service delivery.
You will help identify gaps in current processes and develop simple effective solutionssuch as intake systems tracking tools and automated workflowsthat reduce manual work and improve the experience for both staff and clients.
This position is ideal for someone who is organized proactive and interested in using technology automation and creative problem-solving to support meaningful community work.
This position is funded through the Canada Summer Jobs (CSJ) Program.
Duties & Responsibilities
Daily Responsibilities
- Support day-to-day refugee program coordination including follow-ups and communication
- Maintain and update client records service tracking systems and documentation
- Organize digital files forms and internal resources
- Assist with scheduling intake processes and communication tools
Weekly Responsibilities
- Identify gaps or inefficiencies in workflows and suggest practical improvements
- Build or enhance simple systems (e.g. intake forms tracking tools dashboards)
- Test and implement basic automation tools (e.g. reminders follow-ups data workflows)
- Collaborate with team members to understand operational needs and improve coordination
- Research tools platforms and software that can strengthen program delivery
Monthly Responsibilities
- Develop and refine at least one system or tool that improves program efficiency
- Document workflows tools and processes for team use and continuity
- Prepare short progress updates on improvements tools tested and outcomes
- Share recommendations for long-term system and process enhancements
- Participate in team meetings and contribute to planning and innovation efforts
Required Qualifications
- Demonstrated interest in systems coordination administration or technology
- Strong organizational and problem-solving skills
- Comfortable using Google Workspace (Docs Sheets Forms); willingness to learn new tools
- Interest in AI automation or workflow improvement is an asset
- Ability to think creatively and propose practical implementable solutions
- Strong communication and interpersonal skills
- Ability to work independently and take initiative
- High attention to detail and accuracy in managing information
- Passion for supporting refugees and contributing to community impact
CSJ Eligibility Requirements:
Applicants must be between 1530 years of age and be a Canadian citizen permanent resident or a person to whom refugee protection has been conferred. Applicants must be legally entitled to work in Canada.
