Job Title: Executive Assistant Healthcare
Location: New York NY 10004
Duration: 14 Weeks
Shift: 9:00 AM 5:00 PM
Role Overview
We are seeking a highly organized and detail-oriented Executive Assistant to provide high-level administrative support to senior leadership including Chief Medical Officers. This role requires strong communication skills discretion and the ability to manage multiple priorities in a fast-paced healthcare environment. Candidates with experience supporting large healthcare systems or hospitals are strongly preferred.
Key Responsibilities
- Provide executive-level administrative support to senior leadership
- Manage complex calendars schedule meetings and coordinate logistics
- Prepare edit and format documents reports and presentations
- Handle correspondence and maintain strict confidentiality
- Organize meetings prepare agendas and document meeting minutes
- Coordinate conference rooms and virtual meetings (Teams/Zoom)
- Maintain digital and physical filing systems
- Support procurement processes and track vendor invoices
- Ensure compliance with data privacy and security standards
- Assist in preparing executive and board-level presentations
- Manage sensitive information with a high level of discretion
Required Qualifications
- Bachelors Degree (Masters preferred)
- Minimum 2 years of experience in administrative or executive support roles
- Experience supporting healthcare environments or large hospital systems
- Proficiency in Microsoft Office Suite (Word Excel PowerPoint Access)
- Strong written and verbal communication skills in English
- Excellent organizational and multitasking abilities
Preferred Skills
- Experience with Google Workspace Outlook and Microsoft Teams
- Knowledge of data management and reporting
- Experience coordinating virtual meetings and executive calendars
- Familiarity with procurement processes and invoice tracking
- Ability to prepare executive-level and board-ready materials
