Purpose Statement
The Volunteer Coordinator serves as a strategic leader dedicated to enhancing educational outcomes by aligning high-impact volunteer support with district-wide goals and student needs. By managing end-to-end program operationsincluding multi-tiered recruitment comprehensive training and placement across campusesthe Coordinator ensures a safe compliant and multidisciplinary support system for students and staff. Through data-driven marketing proactive community partnerships and robust recognition programs this role fosters a culture of service that drives volunteer retention. This position ultimately bridges the gap between the community and the classroom to create an enriched learning environment for every student.
This job reports to the Assistant Superintendent of Leadership - Secondary.
ESSENTIAL FUNCTIONS:
Develop and execute comprehensive strategic plans to align volunteer support with district educational goals.
Manage end-to-end operations for the volunteer program including capability assessments performance management and conflict resolution.
Oversee volunteer placement across multiple campuses ensuring multidisciplinary support for students and staff.
Monitor and ensure compliance with district policies safety standards and regulatory requirements.
Develop implement and maintain the districts volunteer database; ensure accurate input regular maintenance and data integrity.
Design and implement a multi-tiered recruitment plan:
- Internal: Leverage staff friends family referrals and outreach to future retirees.
- External: Cultivate partnerships with individuals local organizations and community groups to increase the volunteer pipeline.
Develop and implement a marketing strategy to increase program visibility:
- Internal: Communicate the value of volunteers to district staff.
- External: Promote service opportunities to potential partners and the broader community.
Maintain active multi-channel communication strategies including:
- District newsletters email campaigns and text messaging alerts.
- Strategic signage placement within school buildings.
- Active management of social media platforms and the districts dedicated volunteer web portal.
Organize execute and oversee community-building events and formal recognition programs to celebrate and retain volunteers.
Design maintain and facilitate comprehensive training curricula for both new and returning volunteers.
Provide training and resources for teachers on how to effectively integrate and manage volunteers within their classrooms.
Monitor and report on key performance indicators including:
- Total volunteer hours student enrollment/participation (by school grade and subject) and tutoring efficacy.
- Impact metrics regarding student performance outcomes.
- Budget management volunteer retention rates and demographic impact.
Other duties as assigned by supervisor.

Skills Knowledge and Abilities
SKILLS are required to perform multiple tasks with a potential need to upgrade skills in order to meet changing job conditions. Specific skill based competencies required to satisfactorily perform the functions of the job include: analytical and critical thinking using computational techniques with a focus on applying district state and federal policies and regulations; operating standard computing equipment; performing standard searching and sorting techniques of digital information; preparing and maintaining accurate records; utilizing pertinent software applications; maintaining a strict and high level of confidentiality and ethics; being self-motivated and devoted; with excellent collaborative organization and communication skills.
KNOWLEDGE is required to perform basic numeracy logic statistics including calculations using fractions percents probability inference and query language; read a variety of manuals write documents using native and numerical languages following prescribed formats and/or present information to others; and understand complex multi-step written and oral instructions. Specific knowledge based competencies required to satisfactorily perform the functions of the job include: script query sequel and programming logic.
ABILITY is required to schedule a significant number of activities meetings and/or events; gather collate and/or classify data; and use basic job-related equipment. Flexibility is required to work with others in a wide variety of circumstances; work with data utilizing defined but different processes; and operate equipment using defined methods. Ability is
also required to work with a diversity of individuals and/or groups; work with a variety of data; and utilize job-related equipment. Independent problem solving is required to analyze issues and create action plans. Problem solving with data frequently requires independent interpretation of guidelines; and problem solving with equipment is limited. Specific ability based competencies required to satisfactorily perform the functions of the job include: communicating with diverse groups; meeting deadlines and schedules; setting priorities; working as part of a team; making quick and accurate decisions; working with multiple projects; dealing with frequent interruptions and changing priorities; maintaining confidentiality.
Responsibility
Responsibilities include: working independently under broad organizational guidelines to achieve unit objectives; directing other persons within a department large work unit and/or across several small work units; utilization of resources from other work units is often required to perform the jobs functions. There is a continual opportunity to impact the organizations services.
Work Environment
The usual and customary methods of performing the jobs functions require the following physical demands: occasional lifting carrying pushing and/or pulling some stooping kneeling crouching and/or crawling and significant fine finger dexterity. Generally the job requires 60% sitting 25% walking and 15% standing. The job is performed under minimal temperature variations and under conditions with some exposure to risk of injury and/or illness.
