Project Scheduler Job Description

Our client are an international garden design landscape build and maintenance company with over 25 years of experience. Based in Celbridge Co. Kildare the company specialises exclusively in high-end residential garden design build and maintenance projects.
With a unique focus on sizable residential garden projects this company delivers all external works hard landscaping and planting services with an emphasis on instant maturity and exceptional quality. The business also operates a six-acre nursery alongside a garden centre and café supporting its commitment to premium landscaping and horticultural excellence.
Role Overview
The Project Scheduler is responsible for developing managing and monitoring project schedules across high-end residential landscape and garden projects. This role supports the successful delivery of projects by coordinating timelines resources subcontractors materials and site activities to ensure projects are completed on time and to the highest standards.
The Project Scheduler will work closely with project managers landscape teams designers suppliers and clients to maintain accurate schedules track progress identify risks and support efficient project delivery from design through to completion.
Key Responsibilities
Project Planning & Scheduling
Develop and maintain detailed project schedules for landscape design and build projects.
Coordinate timelines for hard landscaping planting external works and maintenance activities.
Create baseline programmes and monitor progress against planned milestones.
Assist with resource allocation labour planning and scheduling of subcontractors and suppliers.
Ensure project schedules align with client expectations and operational requirements.
Project Monitoring & Reporting
Track daily and weekly progress across multiple projects.
Update schedules to reflect current project status and changes.
Identify delays risks and potential scheduling conflicts proactively.
Prepare weekly project progress reports and updates for management teams.
Support project managers with forecasting and workload planning.
Coordination & Communication
Liaise with project managers site teams landscape crews suppliers and subcontractors regarding timelines and project deliverables.
Coordinate deliveries of plants materials and equipment in line with project schedules.
Attend project and planning meetings providing scheduling updates and recommendations.
Communicate changes to project timelines effectively to all stakeholders.
Operational & Process Support
Support tender planning and scheduling for upcoming projects.
Assist in developing scheduling processes and reporting systems.
Maintain accurate project records and scheduling documentation.
Ensure scheduling activities are carried out in accordance with company standards and project requirements.
Undertake additional duties as assigned by senior management.

Required Skills & Attributes
Qualifications
Degree diploma or certification in Project Management Construction Management Landscape Management or related discipline preferred.
Training or certification in scheduling software is advantageous.
Experience & Expertise
Minimum 3 years experience in a scheduling planning or coordination role.
Experience within landscaping construction horticulture or residential projects is desirable.
Strong understanding of project scheduling and workflow coordination.
Proficiency in Microsoft Office particularly Excel and MS Project or similar scheduling tools.
Strong organisational and multitasking skills.
