Job Title:Printing Publications Administrator

Reports To:Executive Director Supply Chain

Work Schedule/FLSA Status:12-month / Exempt

Salary Schedule:Non-Negotiated Administrator 26Z/ Salary credit may be awarded for applicable experience. Placement on the salary schedule will follow theapplicable agreement.

Start Date: TBD as early as the end of May early June

Position Purpose:

Supervises all printing and mailing operations performed for schools and departments within Omaha Public Schools. Requiresa highlevel of knowledgeregardingcurrent printing technologies both hardware and software related. Requires knowledge of postal regulations related to daily outgoingfirst-classmail as well as marketing (bulk) mail.

Knowledge Skills and Abilities:

  • Minimum ofa bachelors degreepreferred or equivalent combination of training and experiencerequired.
  • Fiveyearssuccessful supervisory experience inthe printing industrypreferred.
  • Knowledgeof digital operations such aseProductivitySoftware Pace and Market Direct Storefront preferred.
  • Knowledge of digital operations such as BCC Mail Manager preferred.
  • Ability to accurately complete specific projects and responsibilitiesin a timely mannerrequired.
  • Exemplary organizational and prioritizing skillsrequired.
  • Knowledge of cutting folding collatingdrilling& saddlestitching operationsrequired.
  • The skills pertinent to positive human relationships and the ability to work effectively with all staffare required.
  • Ability to conceptualize and prepare artwork for brochures newsletters and a variety of instructional materials.
  • Ability to recognize andmaintainacceptable levels of both quality and production output.
  • Ability to withstand and meet demanding production schedules.
  • Ability to work independently without direct supervision.
  • Ability toestablishand maintain positive working relationships with fellow staff.
  • Ability to perform basic math measurement skills.
  • Ability to work in aprinting &graphic arts type of environment which includes the noise of multiple machinesoperatingsimultaneously standard printing inkschemicals and related materials usage.
  • Ability to communicate with other school personnel using tact and courtesy.

Essential Performance Responsibilities:

  • Supervises all printing and related graphic artspersonnel andactivities performed at Printing & Publications Services.
  • Supervises all Mail Services and Printing & Publications Services activities and staff.
  • Assistswith the determination of the most efficient production method to be used on each project and the creation of the required instructions for each project.
  • Guides staff who perform initial review of all printing orders and related instructions for each project.
  • Manages all assignments of printing jobs to each artist within the Printing & Publications Division.
  • Determination of standard design styles to be used by all artists.
  • Lead work with multiple forms of information and develop effective communication pieces using graphic arts processes under tight deadlines.
  • Lead the evaluation and prioritization of requestsfacilitatingefficient graphic arts production.
  • Working with customers on printing issues to guide projects so that theend productis designed in the most efficient and cost-effective manner while emphasizing both high-quality text communication and aesthetic quality.
  • Working with customers to improvethe qualityand cost effectiveness of printed pieces.
  • Design and lead a series of both regularly scheduled and ad hoc in-service training sessions available to District staff across all schools and departments.
  • Monitors and supports computer programs/web applications by effectively resolving program and user of the programs used but are not limited to MDSF Slingshot Switch BCC Mailer Manager Eagle Soft and People Soft.
  • Responsibilities require a proven ability to analyze and respond to emergency requests.
  • Responsible for ensuring maintenance of all print shop equipment.
  • Manage the budget associated with Printing and PublicationServices.
  • Maintain inventoryand inventory management systems within Printing andPublicationServices.
  • Will support other administrative duties as necessary in productionworkflow suchas billing data entry for daily monthlyand year budgets.
  • Theability to interact with management and staff resolving issuespertaining tothe daily operation; attend staff and committee meetings and develop recommendations for future department needs.
  • Maintain data and provide reports as requested bysupervisoror Board of Education.
  • Make presentations as required by position.

Additional Duties:
Performs other related tasks as assigned by supervisor and other central office administrators asdesignatedby the Chief Operating Officer.

Travel:Limitedtravel may berequired.

  • Contact withpersonnel within the districtand withcustomers and vendors.
  • Will be working without direct daily supervision of District Operational Servicesleadershipso independent decision making to lead staff to complete day to day tasks isrequired.

  • Must understand and respond appropriately to customer needs andmaintaina positive attitude with all customers and colleagues.
  • Expected to interact with all internal and external customers in a friendly professional manner and provide quick responsive customer service.

  • In order forschools tooperateeffectively employees are expected to perform all assigned duties and work all scheduled hours during each designated workday unless the employee has received approved leave.
  • Any deviation from assigned hours must have prior approval from the employees supervisor.
  • All employeesare required toreport to work dressed in a manner that reflects a positive image of Omaha Public Schools and isappropriate fortheir position.

Terms of Employment:

This position is treated as a full-time exempt terms of your employment will be governed by applicable state laws regulating employment or teaching in a Nebraska public school and Board of Education policies as those laws and policies may change from time to time. If your position is represented by a collective bargaining representative then your employment will also be governed by a negotiated agreement between OPS and that collective bargaining representative.
