Department Overview
Oregon Health & Science University Improving Addiction Care Team (IMPACT) is devoted to providing substance use disorder (SUD) care to hospitalized patients through direct patient care research education advocacy and health system transformation efforts. IMPACT is a well-established clinical service that supports regional state and national expansion of hospital-based addiction care.
The role of the Project Manager is to manage and support new and ongoing projects within IMPACT. This position works with both internal and external partners to plan organize and execute coordinated delivery of large-scale complex projects.
In addition to traditional project management responsibilities this role includes oversight of program evaluation infrastructure coordination of research-related activities and support for dissemination efforts.
The successful candidate must have proven leadership and project management abilities including the ability to manage complex visible strategic initiatives from conception through implementation while maintaining strong evaluation communication and stakeholder engagement.
Qualified applicants must be able to take initiative communicate clearly (including written and verbal communication) adapt to changes (including in project direction or aims) and work collaboratively with an interprofessional team of clinicians researchers and healthcare administrators. This position may also be responsible for educating team members in the use of project management principles tools and techniques.
Function/Duties of Position
Project Management. Works with internal and external resources to collaboratively plan organize and coordinate large scale complex projects as assigned.
- Translates a vision for care redesign into a clear and appropriately detailed project plan that includes dependencies and critical paths. Project plan should include clear project documentation resource requirements cost estimates and critical success factors working closely IMPACT operational leaders.
- Assigns tasks to internal and external team members communicating purpose and assuring timely completion
- Anticipates short- and long-term timelines; identifying and tracking project milestones and communicating when they are not met or at risk.
- Assures adherence to timeline budget and guiding principles
- Manages project risks issues and barriers; anticipating and mitigating where possible. Escalates issues to leadership as needed.
- Leads regular team meetings including scheduling preparing relevant meeting materials and presentations and capturing action items.
- Supports continuous quality improvement efforts
Evaluation and Research Management
- Manages program evaluation efforts including development maintenance and tracking of evaluation tools
- Oversees maintenance and integrity of databases used for clinical quality improvement evaluation and research activities
- Prepares analytic datasets and coordinates with research collaborators on data analysis
- Aligns evaluation and research tools across partner sites and supports aggregation of data for reporting and dissemination
- Contributes to grant development reporting requirements manuscript preparation and conference presentations
- Partners with leadership to ensure compliance with Responsible Conduct of Research (RCR) Human Subjects Research (HSR) and applicable institutional policies
Communications and Change Management
- Promotes and facilitates effective teamwork
- Utilizes change management and facilitation strategies to ensure team buy-in championship and shared accountability
- Work with internal and external partners to clearly communicate project goals timelines and deliverables; provides regularly scheduled updates to leadership.
- Communicates clearly (verbally and in writing)
- Supports dissemination of IMPACTs work through presentations reports and website updates
- May manage sections of program websites social media communications or digital content that support program visibility and educational outreach
- Supports data visualization efforts to communicate evaluation and clinical impact outcomes
Required Qualifications
- Bachelors Degree in healthcare administration/management business administration or a related field (for example but not limited to Public Health Health Services Research)
- 2 or more years of relevant experience in program or project management including managing and implementing complex large scale projects
- Successful candidates must show that they have significant organizational skills and can lead projects from conception through implementation.
- At least three years of administrative support experience supporting a team of 10 or more
- Proven project leadership and project management abilities including ability to manage large-scale complex visible strategic initiatives
- Skilled in overseeing large-scale projects with budget responsibilities.
- Must be analytical and organized; able to prioritize and handle multiple tasks and undertake assignments with initiative in an environment of competing priorities.
- Ability to operate in a fast-paced environment demonstrating good judgment and creative/original thinking to address the demands of the project.
- Creative problem solver innovative thinker and capable of independent action and decision making with ability to know when to escalate key issues.
- Excellent interpersonal written and verbal communication skills including the ability to speak effectively in large groups. Ability to engage and communicate with diverse stakeholders.
- Ability to work independently and as part of a team while being collaborative in resolving problems
- Ability to promote values of diversity equity inclusion and foster a culture where all team members can operate at the top of their potential
- Exceptional computer skills (including word processing database electronic mail internet presentations and spreadsheets) required. Expert level knowledge in Microsoft Office Suite.
Preferred Qualifications
- Project management experience in healthcare or higher education setting
- Experience with multiple project management methodologies (e.g. Waterfall Agile Scrum Hybrid etc.)
- Experience in academic dissemination activities
- Knowledge of the academic medical center environment
- PMI certification (e.g. PMP CAPM PgMP or similar).
Additional Details
- The work occurs primarily in a typical office environment within a hospital setting.
- Work hours are as required to complete assignment core hours are 8 am to 5 pm Monday through Friday
