Supports healthcare and behavioral health projects by managing day to day operational tasks documentation scheduling and communication. Ensures smooth execution of project activities maintains accurate project records and supports clinicians and operational teams with logistics workflow documentation and training prep.


Job Description:


Essential Functions:

  • Schedules project meetings prepares agendas takes minutes documents decisions and tracks action items. Maintains project trackers documentation libraries and plays a key role in ensuring accurate timelines organization and efficiency.
  • Assists with mapping clinical workflows. Support pilots go lives and training sessions for new workflows processes or EHR enhancements. Coordinates clinical readiness activities such as training sign ins resource distribution and communications.
  • Maintains updated project documents including SOPs clinical workflows training materials and policy updates. Prepares basic dashboards and summaries for PM review. Ensures documentation meets regulatory and audit standards.
  • Drafts communications such as provider updates patient-facing materials FAQs and workflow job aids. Responds to routine inquiries and escalates issues appropriately.
  • Ensures adherence to HIPAA privacy and documentation standards. Assists with gathering data for audits or quality initiatives.

Education Requirement:

  • Associates degree required.
  • Bachelors in Healthcare Administration Social Work Psychology or related field preferred.

Skills:

  • Strong proficiency with Microsoft Office and collaboration tools.
  • Strong organization attention to detail and follow-through
  • Effective communication with clinicians and operational staff.
  • Collaborative with a customer-service mindset.
  • Ability to manage multiple tasks in a fast-paced healthcare environment.
  • Basic understanding of healthcare workflows and terminology.

Experience:

  • 1 year of administrative project coordination or clinical support experience in healthcare or behavioral health required.
  • Familiarity with EHR systems (Epic Cerner SmartCare etc.) preferred.
