Job Summary
Key Responsibilities
Rebates Management
- Manage vendor rebate programs including:
- Set up and maintenance of promotions (monthly and ongoing)
- Processing and submitting rebate claims at month-end
- Handle high-volume rebate activity
- Ensure accuracy and compliance with vendor program requirements (e.g. EDU trade-in promotional offers)
- Track and reconcile rebate claims to ensure timely recovery
SKU & Pricing Database Management
- Maintain and update product database (SKUs and pricing) including:
- New SKU setup and ongoing maintenance
- Cost verification (quarterly)
- Proactive delisting and updates of inactive or obsolete items
- Support stocking and commercial SKUs including:
- B2B segments (Education Government Special Opportunities)
- Creation and maintenance of child SKUs for specific programs
- Manage vendor communications (primarily via email) related to pricing and product updates
- Ensure data integrity and accuracy across systems
Vendor Program Administration
- Support setup maintenance and claims for vendor pricing and promotional programs
- Coordinate with vendors and internal teams to ensure program execution aligns with business requirements
- Maintain organized records of vendor agreements and program details
Administrative Support
- Provide day-to-day support to Purchasing Assistants and Buyers
- Assist with data entry reporting and documentation
- Respond to internal inquiries related to product data pricing and promotions
Qualifications
- 13 years of experience in purchasing merchandising or data administration
- Strong attention to detail with a high level of accuracy in data management
- Proficiency in Excel and database systems (ERP experience an asset)
- Excellent organizational and time management skills
- Strong written communication skills (vendor interaction primarily via email)
- Ability to manage high-volume repetitive tasks with consistency
- Proactive mindset with problem-solving abilities
