Job Summary
Key Responsibilities
1. Team Supervision & Staffing
- Supervise and support a team of medical scribes across assigned locations
- Assist with recruiting interviewing hiring and onboarding new scribes
- Develop and manage staff schedules to ensure adequate coverage
- Monitor attendance productivity and performance; address issues as needed
2. Training & Development
- Train new scribes on clinical workflows documentation standards and EHR systems
- Provide ongoing coaching mentoring and performance feedback
- Ensure competency in medical terminology and specialty-specific documentation
- Identify training gaps and implement improvement plans
3. Operational Oversight
- Coordinate daily scribe assignments based on volume and provider needs
- Optimize workflow efficiency and scribe utilization
- Collaborate with leadership to improve documentation processes
- Troubleshoot real-time operational issues
4. Documentation Quality & Compliance
- Conduct routine chart audits to ensure accuracy and completeness
- Ensure compliance with HIPAA and organizational policies
- Address documentation errors and implement corrective actions
- Maintain consistency in documentation standards across the team
5. Provider & Stakeholder Support
- Serve as a primary point of contact for scribe services
- Build strong relationships with leadership staff to enhance collaboration
- Respond to feedback and implement workflow improvements
6. Reporting & Administrative Functions
- Track and report key metrics (accuracy staffing levels turnover)
- Assist with labor cost monitoring and staffing efficiency initiatives
- Support payroll processes timekeeping and scheduling systems
- Prepare reports for leadership on program performance
Qualifications
Education & Experience
- Associate or Bachelors degree preferred (Healthcare Administration Biology or related field)
- 24 years of medical scribe experience
- Prior leadership lead or supervisory experience preferred
Skills & Competencies
- Strong knowledge of medical terminology and clinical workflows
- Experience with EHR/EMR systems (e.g. Epic)
- Leadership coaching and conflict resolution skills
- Strong organizational and problem-solving abilities
- Effective communication and interpersonal skills
- Ability to manage multiple priorities in a fast-paced environment
- In-person Scribe experience preferred
