Job Summary

Primary Purpose

We are looking for a passionate detail-oriented and proactive HR professional to join our team in May 2026. The HR Officer responsible for overseeing comprehensive employee onboarding and offboarding services enhancing HR processes for compliance and efficiency and providing various HR services.

The HR Officer is responsible for overseeing and managing the attendance and timekeeping systems within the School. They ensure accurate recording reporting and compliance with attendance policies and regulations. This role involves collaborating with various departments to implement and maintain efficient attendance-tracking processes.

Reporting to the HR Manager the HR Officer will be responsible for human resources projects and program implementation. The role will also render support to other team members and take up ad hoc assignments.

Main Duties/Responsibilities:

1. Employee Onboarding and Offboarding Services

  • Serving as the primary point of contact offering essential HR support to candidates hiring managers and internal HR as well as other stakeholders to ensure a seamless onboarding experience for newly hired employees.
  • Overseeing tasks from candidate acceptance to their official start date. This includes enrolling new employees into relevant systems providing procedural information and coordinating pre-employment activities.
  • Transferring data from the Recruitment system to the Onboarding system accurately inputting all requisite supplementary information essential for a seamless transition within the Schools HRIS system.
  • Organising essential onboarding documents including those related to work permits visas background checks etc. Ensuring all formalities are completed upon commencement and compiling a comprehensive file to systematically manage these documents.
  • Providing a certain level of support to newly arrived overseas-hired employees upon their arrival in Taiwan facilitating a smooth transition into their roles.
  • Welcoming newly onboarded employees and overseeing their engagement plan throughout the onboarding process. Managing the entire onboarding journey to ensure a positive experience for new hires.
  • Developing innovative approaches to onboard new employees enhancing the scalability and measurability of the onboarding experience.
  • Establishing appropriate touchpoints for new employees at various intervals during the probationary period and with relevant staff members. Monitoring coordinating and refining the stay interview and retention process.
  • Acting as the main liaison providing essential support to departing employees hiring managers internal HR and other relevant parties to guarantee a smooth offboarding journey for departing staff.
  • Accurately recording and inputting termination records into the HRIS system while also developing off-boarding and system termination protocols.
  • Managing the off-boarding process and handling off-boarding material.

2. Employee Insurance Management

  • Maintaining accurate records of employee insurance (NHI LI and Medical Group Insurance) enrollments terminations changes and billings.
  • Reviewing selecting and negotiating insurance plans and providers to ensure cost-effectiveness and coverage adequacy.
  • Monitoring insurance provider performance and evaluating the quality of services.
  • Serving as the point of contact for employee insurance-related inquiries and providing assistance as needed.
  • Collaborate with insurance providers to resolve claims-related issues and discrepancies.
  • Ensure compliance with local regulations governing insurance programs.

3. Employee Attendance Management

  • Managing and maintaining the attendance tracking system ensuring its accuracy and functionality.
  • Configure the attendance system according to company policies and regulations.
  • Troubleshooting and resolving attendance system issues promptly.
  • Developing and updating attendance policies in accordance with legal requirements and Schools needs.
  • Analysing attendance data to identify trends and patterns. Troubleshooting and resolving attendance system issues promptly.
  • Collaborating with IT or software vendors to integrate the attendance system with other HR software.
  • Identify opportunities to streamline attendance processes and reduce administrative burdens.
  • Providing guidance and support to resolve attendance-related inquiries or issues.

4. Enhancing HR Processes for Compliance and Efficiency

  • Systematically compiling a list of employees with expiring Work Permits and visas to ensure timely renewal applications facilitating their legal and compliant residence in Taiwan.
  • Regularly applying for employees police checks to comply with our schools Child Protection regulations.
  • Generating employment certificates for eligible staff members.
  • Staying updated on legal and regulatory changes related to onboarding and offboarding procedures. Adhering to local employment laws School Recruitment guidelines Safeguarding policies and industry best practices.

5. Other HR Services

  • Collaborating on HR team projects as needed.
  • Performing assigned duties as required.
