Job Summary

Job Title: Contract and Compliance Coordinator

Offer: 32-36k per annum

Leave: 20 days excluding bank holidays

Hybrid Policy: 3 days in the office (Probation would be in the office full time to be adjusted by line manager as needed.)

Contracted place of employment: London Office

Probation period: 6 months

Notice period: 2 months

Job Summary: The Contract and Compliance Coordinator will play a pivotal role in ensuring the accuracy compliance and smooth management of our contractual agreements and internal systems. This individual will be responsible for revisiting and recalculating costs of new and existing contracts issuing updated agreements to clients and managing the required updates in our internal systems to reflect these changes. They will also carry a crucial responsibility for health and safety compliance ensuring that all relevant standards are met and maintained within the organisation.

Key Responsibilities:

Contract Management:

Conduct re-costing of current contracts and issue updated agreements to clients in a timely and professional manner.

Prepare variation agreements ensuring theyre signed by authorised representatives and kept on record.

Accurately document all contract amendments in our ERP and CRM systems.

Maintain organised and up-to-date contract records and related documentation.

Track contract terminations and re-tenders.

Compliance and Health & Safety:

Take ownership of health and safety compliance working to ensure the company adheres to all relevant regulatory and internal standards.

Regularly review and update health and safety protocols to reflect current regulations and company policies.

Conduct or organise audits assessments and reviews related to compliance as needed.

Coordinate with the Operations Director to address and resolve any compliance-related issues promptly.

System Updates:

Manage updates to internal systems as part of contract changes ensuring consistency accuracy and timeliness.

Collaborate with other departments to ensure seamless information flow and integration of contract-related changes within the organisation.

Fleet Support:

Assist with the renewal of fleet insurance and coordination of MOTs to ensure all vehicles remain roadworthy and compliant.

Manage accident repair claims by liaising with insurers and coordinating necessary repairs.

Oversee the installation and maintenance of dashcams and ensure all vehicles are branded according to company standards.

Support tracking and documentation of vehicle maintenance schedules and incident reports.

Qualifications and Skills:

Strong attention to detail and accuracy.

Experience in contract administration compliance or a related field.

Familiarity with health and safety standards and compliance requirements.

Strong organisational skills with the ability to manage multiple tasks and deadlines.

Excellent communication skills both written and verbal for client and internal communications.

Proficient in MS Office especially Excel with familiarity in ERP/CRM systems.

Ability to work independently and remotely with weekly in-office presence as required.
