Office Administrator
Job Summary
Were looking for an Office Administrator to be the welcoming face of our Red Deer district office. This role is central to creating a positive first impression for employees clients and visitors while ensuring the office runs smoothly day-to-day. Youll manage reception support office operations coordinate events and help foster a great workplace culture.
This is an on-site frontdesk role that supports office leadership and employees across the district.
Reception & FrontDesk
- Greet visitors and manage all incoming calls emails and inquiries; redirect as appropriate.
- Maintain a tidy professional reception area and oversee visitor signin/out.
- Receive sort and distribute mail courier packages and shipments; prepare outgoing courier requests and coordinate pickups.
- Maintain and update the company phone directory.
Office Operations & Administration
- Maintain office supplies PPE coffee supplies business cards and merchandise inventory.
- Monitor shared spaces (kitchen meeting rooms reception) for cleanliness and readiness.
- Coordinate minor office maintenance with approved vendors and liaise with the landlord as needed.
- Organize and maintain office records filing systems and administrative documentation.
- Process and log incoming cheques; support trade bond documentation.
- Provide administrative support to project teams (printing formatting scanning uploading filing).
- Prepare basic correspondence documents spreadsheets and forms.
Team Event & Logistics Support
- Support scheduling meeting preparation and internal office events (room bookings refreshments materials).
- Assist with external event logistics such as career fairs community events and vendor tables.
- Arrange travel bookings through approved providers and maintain travel summaries.
- Support volunteer initiatives and communitybased activities.
Onboarding & Employee Experience
- Prepare workstations coordinate IT setup access cards welcome materials and office tours for new hires.
- Track student/coop onboarding and engagement activities.
- Support internal communications teambuilding activities recognition events and office culture initiatives.
- Collaborate with district counterparts to ensure consistent processes nationally.
Health Safety & Facility Management
- Maintain a safe organized office environment aligned with OH&S standards.
- Support emergency preparedness procedures and report safety or security concerns.
- Ensure facility operations meet safety accessibility and cleanliness expectations.
Qualifications :
- High school diploma or equivalent; office administration or business certificate/diploma is an asset.
- Three or more years of administrative or reception experience preferred.
- Proficiency with Microsoft Office Suite (Outlook Word Excel PowerPoint); ability to learn new systems.
- Strong organizational timemanagement and recordkeeping skills with high attention to detail.
- Strong interpersonal written and verbal communication skills.
- Ability to prioritize work independently and exercise sound judgment.
- Knowledge of general office procedures procurement travel coordination and inventory control.
- Ability to prepare simple correspondence and maintain filing systems and basic databases.

Compensation Transparency
Expected Salary: $45000 - $62000
The base salary range for this role is listed above and may vary based on your experience.
