The role
The Program Support Administration Officer supports the smooth running of the team and the Director Companion Animals Policy & Programs by coordinating workflows providing executivelevel administrative support managing correspondence maintaining records and keeping information moving so staff stay informed and able to meet customer and stakeholder needs.
A key focus of this role is executive and business support including proactive diary and inbox management coordinating priorities preparing tracking documents and ensuring key actions deadlines and deliverables are visible organised and progressed. The role plays a critical function in enabling senior leadership to operate effectively in a fastpaced and highvolume environment.
Youll contribute to project and program delivery by preparing documents supporting procurement activities tracking budgets and expenditure supporting financial and administrative tasks and maintaining systems and processes that keep the unit operating efficiently.
Youll be challenged in a fastpaced environment with competing priorities requiring exceptional organisation sound judgement discretion and a strong understanding of agency structures systems and procedures.
The role requires someone who is confident in responding to enquiries managing and triaging executive inboxes monitoring shared inboxes maintaining calendars and coordinating meetings and ensuring documentation and communication are accurate timely and aligned with operational and governance requirements.

What you will bring to the role
- Demonstrated flexibility adaptability and strong organisational skills to manage competing priorities in a fastpaced environment.
- Welldeveloped administrative skills including attention to detail time management and the ability to meet deadlines across team and executive support tasks.
- Strong teamwork and communication skills with the ability to work collaboratively and respond professionally to enquiries.
- Experience or capability to support executive functions including diary and inbox management meeting coordination and prioritisation of actions.
- Experience or capability to prepare and maintain tracking tools (e.g. action logs budgets or procurement trackers) to support effective coordination reporting and oversight.
Key knowledge and experience
Demonstrated experience supporting senior leadership in a similar highvolume role within a complex and regulated organisation including executive support procurement and financial administration calendar and inbox management and coordination of competing priorities across multiple workstreams.
