Definition of Classification:

The Alumni Engagement Senior Specialist is responsible for supporting and advancing alumni and community engagement efforts through a combination of outreach communications event coordination and operational support. This position plays a key role in strengthening relationships between the University and its alumni students and friends by delivering meaningful creative and well-coordinated communication and engagement opportunities.


Reporting to the Executive Director of Annual Giving and Alumni Engagement the Alumni Engagement Senior Specialist collaborates closely with colleagues across Alumni Engagement Annual Giving and Major Gifts to support the goals of the Advancement Division. The position will also have some responsibility for requesting updates to websites developing marketing materials and event promotions including written and electronic formats.

Duties and Responsibilities:

The duties and responsibilities include but are not limited to the following:

Assists in planning marketing coordinating and executing Alumni Reunion Weekend and Homecoming and Family Weekend events in collaboration with alumni volunteers Annual Giving and Events Services.
Assists in planning marketing coordinating and executing regional alumni and community engagement events in collaboration with alumni volunteers Annual Giving Major Gifts Events Services teams.
Recruits trains coordinates and maintains communication with alumni volunteers to provide guidance and support to ensure successful engagement and execution of events and initiatives.
Builds edits processes and maintains event registration forms and records utilizing Slate the main university informational database Stripo email design software and various Microsoft Office programs.
Assists the Alumni Association by helping to plan and participate in the annual retreat meetings and select committee meetings and will serve as staff liaison for an assigned committee of the Alumni board of Directors.
Uses current IT systems to create new landing pages and update existing pages for Alumni Engagement websites.
Monitors alumni website content for quality control and updates web pages as needed.
Utilizes collaborative design tools (Canva Stripo and Slate preferred) to create and edit collateral templates and related marketing materials.
May assist in the execution of meetings and events including but not limited to room reservations catering services audiovisual requirements vendor management set-up and clean-up.
Prepares materials for events including name tags check-in sheets decorations and promotional material.
Provides exceptional communication support with a high degree of tact and technical knowledge; responds to internal and external requests prioritizes and processes requests accordingly.
Maintains department confidentiality of sensitive data information activities and decisions; adheres to all safety and housekeeping policies and procedures.
Performs other duties as required or assigned.

Qualification Guidelines

Any combination equivalent to but not limited to the following:

Experience/Training/Education:

Required

  • High school diploma or equivalent supplemented with two years of additional course work in related fields such as business secretarial computer software/word processing and spreadsheet programs including the ability to use database and Microsoft Office software
  • Three years of administrative support customer service or related
  • Considerable knowledge of administrative procedures word processing spreadsheets and database software programs.

    Knowledge and Skills:

    Working knowledge of higher education institutions.
    Knowledge of administrative procedures word processing

    Knowledge of English grammar spelling and punctuation.
    Excellent verbal and written communication skills.
    Excellent organizational skills and detail orientated with high accuracy.
    Ability to prioritize tasks meet deadlines and work independently and with minimal supervision in a fast-paced environment with changing priorities.
    Effective communication skills: ability to write clearly and concisely.

    Physical Requirements/Working Conditions:

    Working Conditions:

    Standard office and field setting. Duties performed are primarily in an office environment while sitting at a desk or computer workstation or in meetings. At least minimal environmental controls to assure health and comfort. Must be willing and able to work evening and weekend hours and attend University events outside normal business hour as needed.

    Physical Demands:

    Incumbents regularly sit for long periods; walk short distances on a regular basis; climb stairs; travel to various locations to attend meetings and conduct work; use hands and fingers to operate an electronic keyboard or other office machines; reach with hands and arms; stoop or kneel or crouch to file; speak clearly and distinctly to answer telephones and to provide information; see to read fine print and operate computer; hear and understand voices over telephone and in person; and lift carry and/or move objects weighing up to 10 pounds.

    HIRING RANGE:Anticipated hiring range is near or at the minimum of the classification commensurate with candidates education experience skills and training. The University of Redlands is required to provide a reasonable estimate of the compensation range for this role. This range considers the wide range of factors that are considered in making compensation decisions including but not limited to experience skills knowledge abilities education licensure and certifications and other business and organizational needs. It is not typical for an individual to be offered a salary at or near the top of the range for a position. Salary offers are determined based on final candidate qualifications and experience. The full salary range for this position is defined as the Full Pay Range. The budgeted salary or hourly range that the University reasonably expects to pay for this position is defined as theHiring Range. Placement within the Hiring Range is determined by internal equity and relevant qualifications.

    BACKGROUND CHECK:Satisfactory completion of a background check (including a criminal records check) is required for employment.     PHYSICAL AND PSYCHOLOGICAL EXAMS:For certain positions typically in Public Safety Facilities Athletics and Information Technology Services departments employment is contingent upon a candidate passing a pre-employment physical exam with the ability to lift in excess of 50 Safety Officers in addition to a pre-employment physical exam will also be required to pass a psychological evaluation.
