Job Description
The College of the Environment Deans Offices Human Resources Business Partner works closely with the Colleges Human Resources Director to carry out professional human resources duties to enable accurate efficient and comprehensive management of staff and faculty human resources operations in the College of the Environment. This position as a member of the Deans Office Human Resources team will help administer personnel actions and policies related to approximately 2000 faculty staff and student employees and ensure the Colleges compliance with applicable best practices rules and laws. The Human Resources Business Partner will provide expert human resources business process consultation and complex support to a mix of academic and non-academic clients in the College of the Environment.
Duties & Responsibilities
Human Resources Advisement: (35%):
In partnership with the Human Resources Director review and approve Workday staff and faculty human resources business processes requiring Deans office approval assigned client groups within College College of the environment. Utilizing applicable HR knowledge and experience consult and advise on best practices corrections and documentation to help units achieve successful outcomes.
Research and analyze data related faculty and staff salaries hiring trends appointments etc. and provide reports and analysis to facilitate decision-making as requested to Associate Dean of Administration Human Resources Director and Deans Office departments. Prepare and report on HR metrics are directed.
Research interpret apply and advise on all applicable University state and federal employment rules and regulations to ensure compliance.
Participate in and assist Human Resources Director with preparation of College of the Environment Human Resources meetings and training opportunities. Contribute to content and assist in facilitation as needed.
Routinely engage with meetings and trainings opportunities offered by central Human Resources partners to ensure College of the Environment remains up date and compliant with on-going changes at the University. Ensure information is distributed to relevant audience as needed.
Administrative Operations (30%):
Support Human Resources Director with annual faculty human resources processes College-wide including promotion and tenure reviews sabbatical requests and multi-year and annual reappointments and endowments. Distribute and collect requested information from College units reviewing for accuracy and completeness and resolving issues prior to submission to ensure accurate and successful review.
Support Deans Office IT and Human Resources team to transition College of the Environment intranet to new My ENV HR platform. Recommend and maintain web pages researching and evaluating information to ensure accuracy and usefulness to the user audiences and making appropriate changes as necessary to improve this resource. Ensure all College forms and links are current and in alignment with ever-changing university forms and web resources.
Manage Human Resources Share Point. Ensure Deans Office and College of Environment records are accurately maintained in accordance with University policies and record retention requirements.
Create maintain and distribute College of the Environment specific templates as required to ensure college wide consistency in related processes and activities.
Collaborate closely with Human Resources Business Partner - Shared Services to ensure consistency in implementing best practices related to business processes and impact to the Colleges units/departments.
Recruitment and Onboarding (20%):
Support Dean s Office staff recruitments from conception to hire in Workday and UW Hires. Consult with hiring managers and Human Resources Director to develop position descriptions and on recruitment strategies and best practices. Initiate new positions and job requisitions in Workday. Work with Deans Office hiring managers for offer review and approvals and insure appropriate on-boarding of new hires.
Provide first-line review of all competitively recruited faculty job announcements. Consult with search committees on required elements and best practices. Once internally approved submit jobs to Academic HR for posting and maintain college level related to searches according to university retention schedules.
Work closely with Human Resources Director on yearly academic hiring plan for the College assembling and analyzing unit position requests for accuracy and strategic positioning. Monitor and communicate status of faculty hires throughout the recruitment process within Dean s Office.
Payroll (5%):
Responsible for many levels of Human Resources and Payroll related actions for the Deans Office via Workday for a variety of business processes.
Work with Dean s office staff and the finance team troubleshooting issues and reaching out to the central HCM to resolve problems.
Execute Workday payroll reports and corrections for audit and compliance with UW payroll practices for Deans Office.
Recognition and Engagement (5%):
Participate in office committees and special project teams for the Deans Office to support office administration morale and operational efficiency.
Other duties as assigned (5%)
Minimum Qualifications:
Bachelors degree in human resources psychology administration or other related field.
Three years relevant work experience in human resources in a generalist capacity.
Additional Qualifications.
Ability to handle confidential information with tact discretion and diplomacy and maintain strict confidentiality.
Excellent written and verbal communication skills.
Strong interpersonal skills and ability to maintain professionalism at all times.
Ability to research and synthesize information and communicate it effectively to audiences in verbal and written form.
Ability to work independently and as part of a team manage priorities demonstrate initiative multi-task problem solve and exercise good judgment in a dynamic and deadline-driven environment.
Proven accuracy and attention to detail in work products.
Professional level competency with general MS Office applications e.g. Word Excel Power Point Outlook) and HRIS systems plus ability to learn new software applications as necessary to do the job.
Desired Qualifications:
Prior experience working in a union and non-union environment.
Prior experience working in an academic setting.
Prior experience supporting designated client managed groups or shared service environments.
Prior experience in with development and management of HR information resource platforms.
Proficient in Workday.
