Job Summary

To plan and execute service requests through assigned team of technicians in the branch and define material requirements for each service request both planned and on call.

Accountabilities and Responsibilities:

Review and coordinate service requests create and assign job schedules to the team and thereafter monitor work in progress follow up on parts orders to ensure the efficient execution of all service jobs so as to meet timeline quality and profitability.

Plan and execute due Service orders/notifications involving the calling of customers emailing notification reminders which are due and subsequent booking/planning of services to facilitate efficient prompt scheduling and processing.

Work closely with customers requirements for Access Equipment (EWP - Scissor lift) to be hired for site and arranges accordingly with customer as required / adds line to the job and charges for EWP hire if not already included in contract.

Create purchase orders for spare parts EWPs and other goods and services as required to complete planned work. Verify that Siebel PO request is submitted to SAP without errors.

Record and monitors equipment under repair in the workshop and arranges for the collection and delivery to customers accordingly (as applicable).

Assist in the preparation of parts for service jobs by withdrawing and delivering parts as and when required and monitoring stock return to ensure that records are up to date and complete (as required).

Monitor the manhours and productivity captured against budget so as to ensure productivity level and projected profitability.

Ensure that all service jobs are correctly recorded and submitted in the system.

Monitor the status of cannibalized parts and ensure immediate recording to ensure list is constantly updated and accurate.

Monitor the status and expected delivery dates of spare parts ordered for jobs to ensure such parts are delivered and available for scheduled work.

Maintain business relationship with customers so as to build up long-term business continuity.

Advise and assist with Customer Site Induction Register for Operatives to ensure inductions remain valid at all times.

Participate in branch service meetings and Toolbox meetings as required to provide meaningful feedback suggestions for improvement.

Participate in HSE Committee Meetings and implements HSE procedures and standards in order to achieve required safety standards in all service activities.

Coordinate technician travel requirements (onsite/ overnight accommodation plus flight requirements).

Maintain and update customer asset details within the Konecranes & Demag operating systems (updating hoist information creation of new assets adding and removing asset components).

Complete rolling 3 monthly forecast for planned work to be completed and invoiced.

Assist branch with customer KPI tracking for major customers.

Support the branch with other administrative tasks as required.

 Awareness of ISO 14001 & 45001 Standards


Qualifications :

 

Minimum of 2 years experience in a Service Planning/Scheduling role or equivalent.

High degree of organisational ability.

Demonstrated experience working with various computer systems and programs including Word Excel and PowerPoint.

Ability to plan work effectively and work well under pressure.

Work well both independently and in a team.

Ability to effectively and productively engage with key stakeholders at all levels throughout the organisation.

Superior oral and written communication skills.

Working Relationships:

Reports to the Lead Service Planner.

Work collaboratively with the branch Service Administrator Lead Service Administrator Service Manager Branch Manager and other internal stakeholders as required.

Work closely with the Sales team to assist with transitioning customers between Sales and Operations.

Work collaboratively with branch customers and vendors ensuring to build and maintain a strong working relationship.
