Location: Houston TX
Role OverviewThe Medical Coordinator supports personal injury case management by coordinating client care managing medical documentation and facilitating communication between clients providers legal teams and insurance companies. This role ensures accurate record handling timely follow-ups and efficient case progression from intake through settlement.
Key Responsibilities Client Intake & Communication- Contact new clients to obtain detailed medical and injury information
- Maintain consistent communication via phone email and text with clients providers and vendors
- Provide appointment details and follow up to ensure treatment compliance
- Reschedule missed or no-show appointments
- Send authorizations and HIPAA forms; track completion and follow up
- Request medical and billing records every 60 90 days
- Receive review scan and organize records from mail fax and electronic sources
- Prepare and produce records (redaction Bates stamping e-filing and production)
- Schedule clients with appropriate medical providers (orthopedics physical therapy chiropractic pain management surgery radiology TBI specialists etc.)
- Coordinate appointments with medical experts and ensure they receive all necessary records
- Request and review treatment estimates and required deposits
- Send Letters of Protection (LOPs) and request informal records
- Calculate and track medical balances for each client
- Verify balances with providers vendors and experts including liens and tax ID collection
- Determine lien amounts and manage medical reductions after case settlement
- Send Letters of Representation (LORs)
- Assist in preparing demand packages
- Communicate with insurance companies regarding claims and documentation
- Coordinate expert depositions and related logistics
- Experience in personal injury law medical coordination or case management preferred
- Knowledge of medical terminology billing and record management
- Familiarity with HIPAA compliance and legal documentation processes
- Strong organizational and multitasking skills
- Excellent communication and follow-up abilities
