POSITION SUMMARY
The Operations Coordinator owns the back-end infrastructure that makes this growth possible building systems enforcing standards managing financial controls and eliminating the operational drag that holds companies back. This is a direct-access role working alongside the founder with full visibility into every part of the business and measurable impact on its ability to scale. The standard is high the scope is real and the right person will not run out of work they will run out of hours before they run out of problems worth solving.
EDUCATION & EXPERIENCE
2 years of experience in office operations business administration or a comparable role
QuickBooks proficiency required minimum 1 year of hands-on day-to-day experience
Demonstrated experience building or managing systems SOPs or operational workflows
Demonstrated accuracy in handling financial records invoices and sensitive data
Experience with CRM platforms required; GoHighLevel experience is a strong advantage
Background in accounting bookkeeping or financial operations preferred
Experience in high-growth luxury service real estate medical legal or executive support environments preferred
Experience creating onboarding documentation or training materials from scratch preferred
Manages all invoicing payment tracking and accounts receivable using QuickBooks with zero tolerance for disorganization
Builds and maintains an inventory management system from its current unorganized state tracking reorder thresholds and reconciliation
Manages all shipping and receiving logs every inbound and outbound shipment accurately and on time
Owns all vendor and supplier relationships contracts renewal dates pricing and performance accountability
Maintains HR administrative records for all team members onboarding files compliance documentation and certifications
Evaluates implements and maintains technology platforms as the company adopts new tools trains team and holds usage standards
Tracks actual spending against budget and flags variances to the founder before they become problems
Ensures business licenses insurance and compliance requirements are current across all brands and jurisdictions at all times
Maintains organized digital and physical filing systems every document findable every record current
Creates onboarding documentation and training materials that allow new hires to ramp without founder involvement
Supports scheduling board visibility and provides operational escalation support to the revenue coordinator as needed
Identifies inefficiencies broken processes and cost-saving opportunities proposes solutions and implements them after approval
HOW THIS ROLE GROWS
The first 90 days are foundational building systems cleaning up what exists and establishing the operational infrastructure the company currently lacks. That work is significant. It is also just the beginning.
As ING Holdings scales more brands more technicians more markets more revenue the complexity of this role grows with it. More vendors to manage. More team members to onboard.
