A small female-led events and experience design agency delivering large-scale corporate conferences brand activations and purpose-driven experiences. Their work is rooted in psychology storytelling and impact creating events that dont just run smoothly but truly move people.

Theyre looking for a sharp organised Project Coordinator to support the project management team and help keep multiple complex events running like clockwork. This is a fantastic entry point into a high-performance agency where structure kindness and ownership are baked into the culture.


What the job involves...

  • Supporting project managers across multiple events simultaneously
  • Tracking timelines deadlines and project documentation in ClickUp
  • Coordinating logistics across venues AV staging décor and catering
  • Managing supplier communication quotes and follow-ups
  • Assisting with budget tracking cost capturing and reconciliations
  • Preparing client-facing documents status reports and pitch decks
  • Capturing meeting notes decisions and action items accurately
  • Supporting on-site delivery at events when required
  • Keeping internal systems and processes tight and up to date
  • Collaborating closely with project managers the creative team and the CEO


What you need to be considered...

  • 14 years experience in an agency environment (any discipline)
  • Exceptional organisational skills and attention to detail
  • Strong written communication clear professional and proactive
  • A genuine love of admin systems lists and bringing order to chaos
  • Ability to juggle multiple priorities without dropping the ball
  • High emotional intelligence and a calm mature approach under pressure
  • Comfortable with fast-paced deadline-driven environments
  • No ego a team player who communicates openly and takes ownership
  • Proficiency in project management tools (ClickUp experience is a bonus)

  • Have experience in events activations or experiential marketing
  • Have supported budget management or financial tracking
  • Are naturally one step ahead spotting problems before they happen
