The Office Assistant II position is considered the face of the Bureau of Identification. The person in the position is the main communicator with the public as he or she answers the Main Phone line as calls come in. He or she alsoassiststhe Bureaus Specialists IIs and Associate IIs with filing pulling records and generalassistanceto help the Bureau meet the expectations of the Department of Public Safety.
Primary responsibilities include:
- Answer the main line for the State Bureau of Identification in a professional manner and to be able toassistin covering the main receptionist area of DPS during SBIs expected time coverage periods
- Be able to file and retrievedifferent typesof folderscardsand sources according to established filing systems.
- Be able to take direction and follow through with daily tasks on a consistent basis. For example: printingsortingand mailing record responses and notarized requests pickup and open mail.
- Assistthe Director and the Supervisor with everyday needs such as copying mailing and/or other office duties.
- Work professionally and ethically with the understanding that one is a representative of the Bureau of Identification and its managers.
Skills or knowledge required:
- Outlook or comparable e-mail application
- Excel or comparable spreadsheet application
- MS Word or comparable work processing application
- Performing receptionist duties
- Data entry
Minimum qualifications:
Training education or experience in office and administrative support work that demonstrates 1) competency in applying a general knowledge of modern office practices to perform routine varied office support tasks often requiring the operation of technical office equipment and 2) the ability to use independent judgment in prioritizing the work and selecting the most appropriate course of action within set procedures.
