What This Role Really Is
This is a client-facing detail-oriented legal support role that plays a key part in managing estate planning matters from start to finish.
You will work closely with attorneys and clients-both in person and remotely-ensuring that client information is accurate timelines are met and each matter moves efficiently through our process.
This role requires strong organization follow-through and the ability to balance administrative precision with a high level of client care.
Key Responsibilities
- Enter and maintain accurate data in the firms CRM and drafting platforms
- Schedule and coordinate client meetings including rescheduling as needed
- Communicate with clients by phone and email to gather required information
- Track estate planning matters from start to completion to ensure timely progress
- Assist with estate plan document preparation proofreading and organization
- Triage incoming legal team emails and determine appropriate next steps
- Maintain accurate timekeeping records in the billing system
- Support document signing meetings including notarizing or witnessing documents
- Manage calendars deadlines and follow-ups for the legal team
- Handle sensitive client and financial information with confidentiality and care
- Provide general support to the legal and administrative teams as needed
Important Note on Role Scope
This position operates under attorney supervision. You will support legal processes but will not provide legal advice or guidance to clients. Maintaining appropriate professional boundaries is essential.

Education & Experience
- 1 years of client-facing experience in a law firm or professional services environment
- Associate degree or higher (preferred) or equivalent experience
- Strong written and verbal communication skills
- Experience managing multiple priorities and deadlines
- Proficiency with technology (Zoom Google Workspace Microsoft Office etc.)
- NC Notary Public (or willingness to become one)
Work Environment & Schedule
- Full-time onsite position in Cary NC
- Standard hours: 8:30 AM - 5:00 PM
- Occasional evening events (less than 3 times per month)
