Learn more about Valor: Overview: Serving as a vital member of Valors Operations Team the Office & Operations Coordinator (OOC) will work to provide responsive service-oriented support for scholars families visitors and staff within our schools. This individual will be the face of the school and will play a critical role in supporting a joyful positive nurturing and customer-friendly school culture. The OOC will truly own and manage the front office both the physical space and the important function it plays in a high performing school.
Responsibilities will include data management scholar enrollment and registration management of cumulative files maintenance of attendance records and improvement plans and a wide variety of other tasks as assigned. The Operations team manages key non-instructional systems ranging from facilities technology scholar information finance transportation and food service. Given the breadth of these functions we are looking for a detail-oriented and exceptionally driven individual who is able to thrive in a fast-paced often unpredictable environment.
Key Responsibilities:
Scholar Information Management
Maintain daily scholar attendance across multiple information systems
Coordinate several levels of interventions for families of students struggling to maintain strong attendance records
Ensure compliance of scholar data and cumulative files/records
Partner with the student recruitment team to ensure that scholar information is collected and flows into our data systems
Process Free and Reduced Lunch applications
Assist families with troubleshooting login issues to academic and behavior data platforms that they can monitor from home
Communications
Serve as the true face of the school greeting assisting and checking in families and visitors as they arrive
Coordinate mailings automated phone calls and other messages
Perform clerical communication duties such as answering phone line distributing messages and processing mail
Maintain student-facing communication systems such as digital signage and the bell schedule
School Operations
Manage collections of payments for meals supplies exam fees and other activities
Administer basic first aid distribute medication and maintain student injury reports
Support with preparing testing materials and spaces for major exams such as benchmarks and state testing
Manage technology and school supplies such as staff printers student computers calculators and chargers
Co-coordinate school events and special projects with the rest of the operations team
Manage staff and student parking such as collecting parking applications parking passes daily parking tickets and student driving records
Critical Experience and Qualifications:
Bachelors degree required
Fluency in Spanish Arabic and/or Kurdish strongly preferred
Experience working in schools or in another capacity that involves working with students and families strongly preferred
2 years of professional work experience in a customer-facing role strongly preferred
Friendly demeanor with a knack for building and maintaining relationships
Experience working with a diverse population of adults and children
Excellent oral and written communication skills
Detail oriented and extremely organized
Proficiency with technology and a willingness to learn new systems
Comfortable with ambiguity and the dynamic nature of a start-up school environment
Strong work ethic and a determination to help students succeed
