POSITION DESCRIPTION

Position Title: Operations Coordinator

Reports To: Fixed Operations Manager

FLSA Status: Non-Exempt

The Operations Coordinator is responsible for coordinating daytoday operations at a fixed customer location ensuring smooth service delivery accurate invoicing workflow efficiency and a positive customer experience. This role provides operational support without direct people management serving as a critical link between technicians customers and operations leadership.

Operations & Workflow Management

• Coordinate daily vehicle flow through the reconditioning process.

• Track and prioritize workinprocess to maximize efficiency.

• Execute new vehicle inspections and lead lot walks to identify work.

• Ensure services are delivered according to customer requirements and schedules.

• Perform quality checks throughout the service process.

• Participate in QBRs for designated customers.

• Transport vehicles to ensure proper flow in the shop.

Invoicing & Administrative Support

• Oversee invoicing accuracy collection and timeliness

• Consolidate work orders and resolve discrepancies

• Support ordertocash processes and issue escalation

• Maintain accurate operational records

Customer Engagement

• Serve as a key point of contact for customer communication

• Provide status updates and address service concerns

• Escalate pricing or service issues appropriately

• Identify valueadded solutions to support customer needs

Compliance & Safety

• Maintain awareness of environmental safety and health standards

• Support compliance with Dent Wizard policies and procedures

• Ensure work areas remain organized and compliant

Team & Culture Support

• Support onboarding and orientation of new employees at the site

• Reinforce Dent Wizards core values and service standards

• Participate in field communications and site meetings as needed

Position Requirements

• Minimum 2 years of experience in a customerfacing service coordination operations or support role

• Experience working in fastpaced servicebased organizations where responsiveness communication and followthrough are critical

• Strong organizational and multitasking skills

• Ability to thrive in a technologydriven environment where systems tools and processes are continually evolving.

Physical Requirements

• Continuous computer use

• Ability to lift up to 40 lbs occasionally

• Frequent standing walking bending and lifting

The compensation offered for this position will depend on qualifications experience and geographic location.
