IT and AI Administrative Assistant Summer Job Role Kelowna
Job Summary
The YMCA of Southern Interior BC (SIBC) is a charitable association dedicated to building strong kids strong families and strong communities. Y programs provide experiences to over 30000 individuals annually in the areas of health fitness & recreation childcare day camping employment and community health. With a current annual operating budget of $30 million the association employs over 600 full and part time staff and has over 125 volunteers.
This role will have significant impact and provide support to the YMCA as a not-for-profit community-based organization.

Reporting to the Director IT & Digital Transformation and working in collaboration with the IT Coordinator the IT and AI Administrative Assistant will develop a comprehensive skill set valuable for their future IT career.
This position offers hands-on experience in IT support and AI policy development contributing to the YMCAs technological advancement and operational efficiency. The student will play a key role in advancing AI policy and usage with potential for future employment opportunities within the organization.
Tasks and Responsibilities:
AI Policy Development:
- Support the rollout of AI policies through documentation communication materials and staff training.
- Prepare reports related to IT support activities system updates and AI policy implementation.
- Collaborate with the IT Coordinator to research and develop AI policies while staying updated on AI trends.
- Assist in drafting reviewing and finalizing policy documents.
- Help design and implement strategies for rolling out AI policies through training sessions which will educate staff.
Day-to-Day IT Support:
- Provide help desk support basic IT training troubleshooting hardware and software issues.
- Assist with installation configuration and maintenance of IT equipment.
- Support user account setup access permissions and basic system administration tasks.
- Monitor and maintain the network for smooth operations.
- Create and maintain IT documentation procedures and user guides.
- Prepare reports related to IT support activities system updates and AI policy implementation.
- Support user account management and access permissions.
System Maintenance:
- Perform routine maintenance on IT equipment.
- Ensure systems are up-to-date with software updates and security patches.
Project Assistance:
- Support IT projects including system upgrades.
- Monitor IT systems to support reliable and secure operations.
- Participate in project planning and execution.
- Assist with researching drafting and implementing organizational AI policies and procedures.
- Support the rollout of AI policies through documentation communication materials and staff training.
Wed love to hear from people with:
- Enrollment in studies for a degree or diploma in Information Technology or related field.
- Experience and strong working knowledge of Microsoft 365 tools and an interest in gaining experience with IT tools like Asana Basecamp and Trello.
- Excellent problem-solving skills and adaptability with ability to prioritize and multi-task.
- Strong interpersonal and communication skills with capability and desire to work within a collaborative team and possess an interest in growing into other IT related roles.

Schedule details:
- This is a 9-week term role part of the Canada Summer Job Program
- 30 hours per week
