Job Summary

Position Overview

The Human Resources Data Assistant supports the effective operation of the Human Resources department through the management analysis and reporting of employee data. This position is responsible for maintaining accurate personnel records managing HR data systems ensuring compliance with state and federal reporting requirements and providing data-driven insights to support workforce planning staffing and compliance initiatives.

The HR Data Assistant serves as a key liaison between Human Resources Payroll Data IT and other departments to ensure the integrity and consistency of employee data across all systems.

Qualifications

Required:

  • Associates degree in human resources business administration information systems or a related field.
  • Two (2) or more years of experience working with HR payroll or data management systems.
  • A combination of relevant work experience and certifications may be considered.
  • Proficiency with Microsoft Excel and Google Sheets for data analysis and reporting.
  • Strong attention to detail and commitment to data accuracy.
  • Demonstrated ability to manage multiple priorities and meet deadlines.
  • Excellent interpersonal organizational and communication skills.
  • Ability to maintain confidentiality and exercise sound judgment.

Preferred:

  • Bachelors degree in a related field.
  • Experience in a public school district municipal government or similar setting.
  • Knowledge of state education reporting systems (e.g. DESE EPIMS SIMS or equivalent).
  • Familiarity with HRIS platforms such as MUNIS PowerSchool HR or similar.
  • Strong analytical and problem-solving skills.
  • Understanding of HR principles employment records and reporting requirements.
  • Ability to interpret and apply HR policies union contracts and salary schedules.
  • Strong customer service orientation with the ability to support staff at all levels of the organization.
  • Commitment to equity inclusion and confidentiality in handling personnel data.

Essential Duties and Responsibilities

  • Maintain update and audit employee data in the Human Resources Information System (HRIS) payroll and other district databases.
  • Ensure data accuracy and consistency across HR payroll and benefits systems.
  • Ensure data accuracy in collaboration with the District Data Specialist with state and federal reports including but not limited to DESE staffing data EEOC and other compliance reporting.
  • Support the annual staffing process including data entry for new hires transfers leaves and separations.
  • Track and maintain employee certifications licensure and credential renewals in compliance with district and state regulations.
  • Assist with salary and step placement and data verification for payroll processing.
  • Collaborate with HR and Payroll teams to resolve discrepancies and ensure accurate compensation and benefits administration.
  • Develop and maintain documentation for data management procedures and reporting processes.
  • Support audits and data requests from internal and external stakeholders.
  • Provide data and system support for collective bargaining staffing projections and compliance monitoring.
  • Maintain confidentiality of employee information and adhere to data privacy standards and district policies.

Work Environment

  • Standard office environment within a district central office.
  • May require occasional extended hours during payroll or reporting cycles.

FLSA Status: Exempt

Salary Range: $65000 to $75000

Work Year: 12 months (paid holidays vacation personal and sick days)

Contract Status: Individual/Non-Union
