The USC Career Center is seeking an experienced Events and Employer Engagement Coordinator. This position will manage all aspects of the Career Centers events including employer outreach. The ideal candidate will have excellent administrative skills and demonstrated experience with CRM systems virtual career fair platforms and Microsoft Excel. The candidate must be able to communicate effectively both in person and in writing and have excellent customer service and organizational skills.
Essential Duties and Responsibilities:
Manage and plan the Career Fairs including any virtual/online Career Fairs Graduate Schools Fair PhD Conference Career Fest and other small medium and large-scale events for the USC Career Center which impact the opportunities for students to secure jobs and internships before and after they graduate.
Foster new and existing partnerships with employers graduate schools and student organizations to develop sponsor and promote a variety of Career Center events focused on career exploration and recruitment as well as revenue generation.
Work with all necessary campus partners including Facilities Management Services Scheduling Office and Office of Sustainability to ensure that all events comply with University and fire safety standards and requirements and new pandemic-driven event guidelines and policies.
Negotiate and contract with vendors for a variety of goods and services related to special events planning. Monitor delivery of goods and services to ensure contract terms are satisfied.
Develop and control budgets on a program or event basis. Negotiate financial terms and review expenditures for accuracy.
Develop the scope of work creating project timelines producing communications materials event briefings and timely reports.
Coordinate the production of all event-related materials including invitations event signup signage letters and post-event communications.
Manage post-event evaluation and surveys to students employers and graduate schools to determine the success and impact.
Manage all assigned meeting/event details including set-up A/V needs guest and attendee logistics security sustainability and health protocols.
Serve as the event day lead and coordinate with event staff volunteers vendors and guests.
Research and create new events to support the mission of the Career Center while continuously seeking to improve the quality and efficacy of our events.
Satisfy revenue goals for the Career Center events to continue providing students career-related programming and resources.
Utilize all CRM and manage data for effective building of targeted employer outreach campaigns tracking engagement and building the applicable audience.
Oversee and participate in targeted employer and graduate school outreach efforts to recruit employers and graduate schools for the Career Center events and programs.
Develop and maintain the events calendar and employer marketing calendar.
Work closely with the Assistant Director of Marketing to initiate create draft and circulate recruiting emails invitations and other marketing materials to employers graduate schools and other external constituents to increase participation in Career Center events.
Work closely with the Assistant Director of Marketing to coordinate and circulate all student/alumni-facing communications and marketing efforts for all Career Center events.
Liaise with school-based career services offices and other key departments to maximize employer and graduate school outreach encourage cross-collaboration/coordination within the University and increase participation among students.
Approve employers and jobs via universitys CRM system and assist with other Employer Engagement team projects.
Manage and regularly update Career Centers website to ensure accurate timely and user-friendly content related to events employer engagement and student resources
Collect analyze and generate data reports on event outcomes employer participation and student engagement to support strategic decision-making and program improvement
Supervise train and evaluate student workers ensuring high-quality support for events outreach and administrative functions
Mentor and provide ongoing guidance to student staff fostering professional development accountability and a positive team environment.
Represent the Career Center in university committees and cross-campus initiatives
Perform other duties as assigned.
Requirements:
Bachelors degree
Minimum three years in event planning event management production public relations or a related field in academic nonprofit community or corporate organizations overseeing large events
Knowledge of the principles practices concepts and methodology of events marketing
Demonstrated track record of creating and maintaining strong client relationships
Demonstrated excellence in written and oral communication
Strong ability to manage several different projects simultaneously
Strong organizational skills detail-oriented and ability to remain flexible to changing business needs
A high level of professionalism and excellent customer service skills
Ability to work in a team environment and serve internal and external clients
Ability to learn new technology
High proficiency in CRM systems SaaS platforms and Microsoft Excel building budgets and spreadsheets
Experience with Constant Contact Salesforce or a similar product for database management
Experience with Handshake Brazen or other CRM and virtual career fair platforms
Experience with Mailchimp Eventbrite or a similar tool for event communications and marketing
Strong experience using Zoom or a similar web conferencing software
Ability to work a flexible schedule based on department needs including early morning late evening and weekend events
Salary Range
The annual base salary range for this position is $79766$91040. When determining an offer the University of Southern California considers factors such as the scope and responsibilities of the role the candidates experience education training key skills internal peer alignment applicable laws contractual requirements grant funding and market conditions.

Required Functional Skills:
- Experience with special events planning fundraising management or alumni and volunteer relations management.
- Experience in project management. Proven scheduling abilities. Ability to effectively manage and develop complex event and program budgets. Excellent written and oral communications skills.
Preferred Functional Skills:
- Bachelors degree in business communications hospitality or related field. Experience in hotel or event management. Excellent managerial skills. Experience with donor/constituent- relationship management database
software (e.g. FileMaker Pro DonorPerfect Raisers Edge) email marketing programs (e.g. Mailchimp Constant Contact) and managing social media for a company or brand. Experience with office management communication
software and tools (e.g. Google suite Slack Skype). Comprehensive understanding of all relevant state and local event -depth knowledge of local community. Fluent in one or more languages in addition to English (e.g. Spanish Korean).
