The Role
Marco is currently seeking an Office Administrator to join our Dartmouth NS office. Reporting to the President youll be the first point of contact for visitors manage calls and mail and provide essential administrative support to our team. From coordinating supplies and vendors to planning meetings events and celebrations youll keep our workplace efficient and welcoming.
Key Responsibilities include but are not limited to:
  • Welcoming visitors answering incoming calls and managing mail and front desk operations
  • Providing administrative support including maintaining records and assisting with onboarding
  • Coordinating office supplies vendor services maintenance and internal communications
  • Organizing and supporting meetings events and team activities
  • Reconciling monthly vendor statements to ensure accuracy
  • Reviewing and reconciling trade invoices in collaboration with Project Managers and vendors
  • Processing daily trade invoices across multiple construction projects
  • Collecting and tracking subcontractor documentation required for payment
  • Maintaining organized accounting records through scanning and filing
  • Following up on outstanding payment certificates to support timely processing
  • Assisting with additional accounting and administrative tasks as needed
  • Using Jonas and Procore daily to input review and manage project and financial data
What You Bring
  • Experience in office administration reception or executive support
  • Excellent communication and interpersonal skills
  • Strong organizational skills with the ability to multitask and prioritize
  • Proficiency with Microsoft Office Suite and related tools
  • A proactive adaptable and detail-oriented mindset
