Compensation and Benefits

Anticipated Hiring Salary Range: $4799 - $4895 per month

Full CSU Classification Salary Range: $4799 -$6992 per month

  • This is a full-time (equivalent to 40 hours per week) probationary non-exempt position.

The CSU system provides a comprehensive benefit package that includes medical dental and vision plans membership in the California Public Employees Retirement System (CalPERS) sick and vacation time and 15 paid holidays a year. Job Summary

The Department Administrative Analyst/Specialist (AAS) works under the direction of and with the Psychology Department Chair and Associate Chair as applicable. The AAS is the senior office staff member and lead in the Psychology Department Office responsible for addressing the administrative concerns of the department one of the largest on campus. The department serves undergraduate Psychology majors and graduate students. The department academic curriculum consists of the undergraduate major and minor options and three graduate degree programs

The AAS performs specialized administrative responsibilities and financial accounting of 20 separate accounts totaling $200-250000 in support of this large academic department and has a lead role directing office operations working with the other staff to coordinate and prioritize tasks. The AAS additionally conducts independent analytical management of several critical components of departmental operations. These include interpreting policies and procedures reporting and evaluating the effective development and administration of departmental programs and suggesting improvements to operational policies and procedures.

The AAS has the primary role in the analysis and implementation of the departments budget in conducting financial analysis planning and accounting and in advising and consulting with the department chair. The AAS is also responsible for implementing the purchase of supplies coordinating personnel matters (including faculty searches and contract administration for lecturers Teaching Associates (TA) and Instructional Support Assistants (ISA)) course scheduling and room arrangement the accounting of multiple foundation and trust accounts travel processing and coordination of communications and information with off-campus visitors and community contacts.

Key Qualifications

  • Knowledge of current office methods procedures and practices.
  • Knowledge and skill in methods and procedures for research and statistical analysis and the ability to apply them.
  • Knowledge of budget and purchasing practices policies and procedures.
  • Knowledge of standard office equipment and software packages (i.e. Microsoft Office Suite Google apps etc.)
  • Mastery of English grammar spelling and punctuation and demonstrated competence in presenting standard information in writing.
  • Skill/Ability to:
    • Ability to independently interpret and apply a variety of complex policies and procedures to find solutions to a wide range of procedural and office administrative problems.
    • Ability to coordinate and delegate workflow to staff and set priorities for the completion of assigned tasks.
    • Promote a well-organized team-oriented office environment that supports the faculty and staff of the department.
    • Work effectively with faculty students and staff from diverse ethnic cultural and socio-economic backgrounds.
    • Excellent oral and written communication skills including performing work assignments that require regular communication with individuals at higher levels within the university or external to the university often involving sensitive interpersonal situations.
    • Ability to work effectively in a fast-paced multiple-task and multiple-interruption environment and successfully complete many different tasks in a timely manner while maintaining a high level of accuracy.
    • Ability to create and maintain program records and provide data for review in developing and implementing strategies to support programmatic goals and enhance processes.
    • Excellent use of business mathematics including tracking and reconciling financial data.
    • Ability to work independently on complex projects using good judgment and discretion to benefit the department.
    • Ability to plan organize and coordinate large-scale department projects and events such as the colloquium series lecture series workshops department awards ceremonies and the department commencement celebration.
    • Interpretive skills wherein research analysis and evaluation of information are required to solve a broad range of office procedural and office administrative problems.

Education and Experience

  • Bachelors degree and/or equivalent training and administrative work experience involving study analysis and/or evaluation leading to the development or improvement of administrative policies procedures practices or programs.
    • Preferred Knowledge Skills or Abilities:
      • Higher education experience serving as a resource on policies and procedures.
      • Knowledge of department curriculum and general university organization sufficient to respond to student and general public inquiries.
      • Experience using PeopleSoft Financial and HRSA programs Concur and Google Calendars.

Psychology is concerned with the scientific study of human behavior and consciousness and the applications of these findings to the areas of home school work and social relations. It covers topics such as learning cognition motivation personality psychophysiology sexuality group processes cultural factors and abnormal behavior. Psychology is an area for students interested in learning about the behavior of humans and other organisms.
