Job Summary

Partnership with Children provides critical counseling school-wide services and family and community outreach in New York City public schools most impacted by the effects of poverty and trauma so students can reach their full potential. The ideal Program Operations Coordinator is organized and detail oriented and can juggle multiple priorities. This role is vital to maintaining a well-functioning department and will provide essential support to our direct service and Program Leadership team residing in a central office and across 30 schools in New York City.

Responsibilities:

  • Office Administration and Support Provide support to the Program Department leadership to schedule meetings maintain calendars set up meeting rooms and tech for presentations.

  • Documentation Management - Perform tasks such as filing copying typing and scanning documents to support smooth Program Department operations. Fill out external application forms

  • Equipment - Ensure the Program Department staff equipment is distributed and maintained. Assist with coordination of technology repairs

  • Act as Liaison to Development Department for Sponsor events volunteer events and supply drives- Coordinate communicate and collaborate with school staff and Development department in order to provide information and support for donor-sponsored events and initiatives happening at schools

  • Program Department Supplies Ensure the Programs Department is well-stocked by purchasing supplies. Manage inventory and anticipate needs.

  • Operational Support- Provide logistical administrative and hands-on support with school day events and campaigns afterschool and summer programs. This may be on-site at schools or at the central office. Create and maintain staff accounts and logins for commonly used technology and vendors.

  • Provide coverage for organizations Office Manager one day per week and during Office Managers vacation days

  • Other administrative tasks as necessary


Qualifications:

  • Superior organizational skills attention to detail and ability to manage multiple projects from multiple sources while meeting deadlines

  • Proficiency in Microsoft Office (Teams Outlook Excel Word PowerPoint)

  • Exceptional problem-solving ability and the ability to strategize and anticipate future needs before problems arise

  • Experience creating operational systems

  • Strong initiative commitment to excellence with exceptional follow-through and ability to anticipate challenges

  • Strong written and verbal communication skills Ability to work in fast-paced environment flexible can-do attitude

  • Experience in an operation support positions strongly desired

  • Familiarity with basic graphic design programs (Canva Adobe Creative etc.)

  • Ability to lift boxes up to 20 pounds and move items such as conference room furniture

  • Ability to travel by subway to visit schools around NYC



Hours:

  • The workday is typically Monday-Friday 8am-4pm with some flexibility as needed including occasional evenings and Saturdays.

  • This job is 4 days/week in person at the Partnership with Children central office in lower Manhattan with occasional support at events at our school sites across New York City.

  • If desired by the employee it is expected that the job can be worked remotely one day a week most weeks of the year.



Salary and Benefits:
$45k to $60k annually commensurate with experience.
