Position Summary
We are looking for a 12 month contract Junior Estate Administrator to our Personal Bankruptcy Centre of Excellence (COE). This role is responsible for executing specialized tasks within one or more areas of the Personal Bankruptcy process such as Tax Court Estate Administration Assets or SRD ensuring compliance accuracy and efficiency in support of internal stakeholders and clients.

Position Summary
We are looking for a 12 month contract Junior Estate Administrator to our Personal Bankruptcy Centre of Excellence (COE). This role is responsible for executing specialized tasks within one or more areas of the Personal Bankruptcy process such as Tax Court Estate Administration Assets or SRD ensuring compliance accuracy and efficiency in support of internal stakeholders and clients.
Responsibilities
Operational Execution
- Complete day-to-day activities specific to assigned functional areas (e.g. SRD review asset realization preparation of court documents tax filings estate documentation etc.) in accordance with internal procedures and regulatory requirements.
- Ensure all deliverables meet defined service-level agreements quality standards and deadlines.
- Maintain up-to-date documentation and records in case management systems.
- Identify and flag any discrepancies or risk areas to your manager promptly.
- Prepare Reports to Court court application packages and supporting documentation in accordance with the Bankruptcy and Insolvency Act (BIA).
- Schedule and coordinate court hearings motions and applications as required.
- Liaise with Trustees legal counsel court registries and external parties across various jurisdictions in Canada.
- Track court deadlines and ensure all court filings and service requirements are completed within prescribed timelines.
- Assist in the preparation and filing of affidavits motions and other legal documents related to bankruptcy matters.
- Maintain and update bankruptcy files and case management systems.
- Monitor bankruptcy payments surplus income obligations and compliance with bankruptcy terms where applicable.
- Prepare and issue default notices and follow up on outstanding obligations.
- Track key dates including discharge dates court hearings and statutory deadlines.
- Maintain accurate file documentation and ensure compliance with OSB and regulatory requirements.
- Respond to inquiries from debtors creditors lawyers court officials and other external stakeholders.
- Provide information regarding bankruptcy procedures court processes and file status where appropriate.
- Assist Trustees and administrators with correspondence and follow-up communications.
- Draft and prepare standard correspondence reports notices and legal documentation.
- Ensure documentation is complete accurate and properly filed within the case management system.
- Assist with file close-out procedures including final reporting documentation and regulatory requirements.
- Liaise with internal departments trustees legal counsel and external parties as required to obtain or clarify information.
- Support internal team members with guidance and clarification on standard processes and documentation.
- Participate in team meetings and contribute to a collaborative work environment.
- Adhere to company policies compliance protocols and relevant legislation governing insolvency proceedings.
- Contribute to process improvement discussions by identifying inefficiencies or gaps in procedures.
- Assist with testing or feedback on new tools or system updates when requested.
- 24 years of experience in personal bankruptcy insolvency administration legal support or a related operational field.
- Post-secondary education in business legal studies accounting or a related discipline preferred.
- Working knowledge of insolvency processes and legal documentation is an asset.
- Strong attention to detail and a commitment to accuracy and compliance.
- Proficiency with Microsoft Office and case management systems.
- Strong written and verbal communication skills.
- Ability to manage workload independently while contributing to a team environment.
