Job Description:

The Department of Civil and Environmental Engineering (CEE) maintains an internationally recognized research program with six research areas numerous academic programs and multiple research and testing laboratories spread across five different buildings. Civil and Environmental Engineering continues to be recognized as one of the worlds premier programs in our field with both undergraduate and graduate programs of the department ranking in the top 20 in polls such as US News & World Report National Research Council and Gorman Report. The department serves over 800 students annually and grants bachelors masters and PhD degrees. As of October 2021 the department has approximately 46 faculty 16 postdoctoral scholars and 50 staff.

The Program Coordinator is an integral member of the Student Academic Services (SAS) Team within the Department of Civil & Environmental Engineering.

Reporting to the Academic Counselor Lead within CEEs SAS Team the individual in this position must be highly organized self-motivated and able to work independently as well as collaboratively while maintaining the highest level of customer service. The Program Coordinator interacts with a broad range of individuals within the department and the university.

Time Schedule Coordinator

  • Work collaboratively with CEEs SAS Team department chair and faculty to develop and implement the departments quarterly and annual course offerings.

  • Coordinate with Professional and Continuing Education staff to schedule self-sustaining program courses.

  • Perform complex scheduling duties to meet departmental and university requirements and deadlines.

  • Monitor revise and oversee changes to existing time schedule.

  • Work effectively and collaboratively with diverse groups including faculty students lecturers TAs and other instructional staff.

  • Update departmental course offering database and website as needed.

  • Work with UW Time Scheduling office UW Classroom Support Services and various event services groups to reserve classrooms and venues for instruction and special events (i.e. guest speakers meetings special events etc.).

Curriculum Coordinator

  • Work with faculty members and academic advisors to manage new course and course change applications through Departmental College and University curriculum approval processes.

  • Ensure processing including appropriate approvals and meeting deadlines.

  • Follow up and communicate outcomes with the Chair and departmental faculty.

  • As designated curriculum coordinator be responsible for understanding interpreting and communicating College and University policies. (Training will be provided.)

Event and Administrative Support

In collaboration with the SAS team CEE students and faculty:

  • Develop coordinate and implement special events related to student services such as new student orientations prospective student recruitment visitation and department graduation ceremony.

  • Secure venues coordinate catering obtain required food service permits and process other required university approval forms.

  • Design event program and printed materials purchase supplies and assist with organizing and supervising event volunteers etc.

  • Assist with planning and organizing Engineering Discovery Days.

  • Provide administrative and operational support to academic advisers for various student service activities including assisting prospective students maintaining admissions data and statistics processing applications maintenance of student records data entry and collecting and compiling information as needed.

  • Reserve rooms and equipment for graduate students thesis/dissertation defense as needed using department online scheduling system.

  • Assist with ABET accreditation data collection materials compilation and report preparation as needed.

  • Manage graduate student exam announcements and convey exam decisions in MyGrad program.

Academic and Office Support

  • Provide academic support services including textbook orders course evaluations and grade submission assistance to support faculty and instruction.

  • Communicate with faculty regarding textbook requirements and process textbook orders on a quarterly basis meeting deadlines. Track status.

  • Order and administer quarterly course evaluations meeting deadlines.

  • Serve as departmental grading delegate providing instructions to faculty and outside instructors regarding online grading process requirements and deadlines. Assist faculty with grade submission as requested.

  • Coordinate and assist with front office coverage in collaboration with Operations Manager.

  • Perform other related duties as assigned.

Minimum Qualification

  • High school graduation or equivalent AND two years of experience in academic services/student support OR equivalent education/experience.

Compensation Benefits and Position Details

Pay Range Minimum:

$46332.00 annual

Pay Range Maximum:

$61920.00 annual
